JOB SUMMARY:

An integral member of the External Relations Division, the Communications Assistant supports the workflow and communications within the Division, and assists the Vice President of External Relations and the President/CEO, as needed. The Communications Assistant assists in the implementation of communications and fundraising activities, materials, and special events, and provides general administrative support, among other duties.

This is an entry-level position for a professional with a passion for global health who is interested in communications and/or marketing as a career, or looking to apply strong administrative skills to a dynamic, non-profit environment.

RESPONSIBILITIES:

Administrative Duties

· Provide administrative support to the External Affairs team, the Vice President of External Relations, and as needed the President/CEO. Duties include: preparing and distributing general information packets, maintaining inventory of team office supplies, taking meeting minutes, maintaining files and electronic filing systems including mailing lists, photocopying, and other duties as assigned.

· Coordinate travel for staff and consultants, prepare and monitor appropriate paperwork (including vouchers & expense reports) as needed.

· Provide assistance with processing and managing consultancies and consultant contracts.

· Update and maintain organization-wide mailing lists for media, colleagues, etc.

· Develop polished PowerPoint presentations.

· Participate in team meetings and take meeting minutes.

· Maintain up-to-date records of budgets and create monthly review of financial reports and ensure timely payment of bills.

· Maintain and organizes resource library, including video archives, references and media clips.

· Maintain organizational list of relevant conferences on intranet.

· Coordinate logistics and plan booth presence at meetings and conferences, including registration, materials management, and booth staffing.

Media/Publications/Fundraising-related Duties

· Track relevant media coverage and conduct simple media analyses.

· Support marketing and fundraising campaigns and media relations by media pitching and follow-up as well as dissemination of materials such as mailings, reports, etc. using EngenderHealth databases.

· Conduct research, compile summaries, and gather data to support the Division’s activities.

· Monitor EngenderHealth e-mail information mailboxes, and determine the appropriate follow up to respond to inquiries, e.g., forwarding messages to appropriate staff in the department or agency in order to craft a response.

· Respond to general requests for information, triage to relevant staff and follow-through on inquiries.

· Respond to inquiries for technical publications and manage fulfillment of materials.

· Maintain the materials resource library for EngenderHealth publications as needed.

· Assist staff with the planning and implementation for special meetings and/or events.

· Responsible for updating and maintaining the External Affairs intranet pages.

· Oversee loans of camera and video equipment (e.g., sign out/sign in, verify all checked-out components have been returned, cursory checks to the equipment).

· Handle other duties as assigned.

EDUCATION, EXPERIENCE & CERTIFICATIONS:

Bachelor’s degree and a minimum of 2-3 years of work related administrative assistant experience.

KNOWLEDGE, SKILLS AND ABILITIES:

· Excellent attention to detail.

· Ability and creativity to prioritize, and flexibility to adjust workload, to meet deadlines, juggle multiple assignments, and work in a dynamic, flexible environment.

· Superior organizational skills.

· Excellent Word, Excel, and PowerPoint skills. .

· Experience with Raiser’s Edge, Dreamweaver, website content management systems, email blast services, and YouTube video uploading are desired but not required.

· Excellent interpersonal skills and ability to function effectively as part of a team Flexible, proactive in taking on assignments and responsibilities, and willingness to learn.

· French language skills desired but not required.
