JOB SUMMARY
The Data Management & Reporting Officer (further) develops and maintains the architecture and frameworks of Mama Cash's data and process management systems (Salesforce and Exact), with emphasis on fundraising, grantmaking and finance. The officer coordinates and ensures integration of Mama Cash's Salesforce and Exact systems and provides management information reports and analysis to the Directors and their teams. The position is a liaison between users at Mama Cash and external technical database suppliers. The Data Management & Reporting Officer works directly under the supervision of the Director Finance and Operations.
ESSENTIAL JOB FUNCTIONS
A. For the Philanthropic Partnerships and Communications Team
  • (Further) develop, implement and maintain database systems and processes for the Individual Donor Relations and Philanthropic Partnerships sub-teams including an integration with the website;
  • Oversee quality control of database input and analysis; ensure quality improvement and data cleanup;
  • Develop business rules together with the team; ensure adherence to business rules; ensure that data entry is accurately completed in order to facilitate efficient donor tracking, planning and correspondence;
  • Keep abreast of developments (fiscal, legal or other) related to, or having an impact on, our donor base;
  • Prepare segmentations and run selection for all donor communications, including (e)mailings, e-zines, telemarketing etc.;
  • Take care of list management of e-zine system (Mailchimp)
  • Coordinate the data selections for small, in-house mailings in cooperation with the secretariat and large mailings in close collaboration with an external mailing company, and with Development Officers for Individual Donor Relations (e.g., by means of planning, delivering of database files, and taking care of tracking the results of the mailing);
  • Develop and run periodic (standard) data analyses and reports of individual donor income and donor trends, and develop reports based on the needs of the Philanthropic Partnerships and Communications team;
  • Provide in-depth analyses of the quality, development and results from our donor base through individual giving reports, aggregated and cyclic analysis of benchmarks, and make recommendations to the Director of Philanthropic Partnerships and Communications and relevant Officers;
  • Develop systems for, and liaise with, the Philanthropic Partnerships and Finance team on earmarking and analysis of institutional and individual donor income;
  • Coordinate budgeting, cost/revenue reporting within Individual Donor Relations team and report individual giving fundraising costs and revenue to the finance staff;
  • The automated handling of new or enriched donor data resulting from direct marketing campaigns might be added to the function in the future.
B. For the Programmes and Learning and Evaluation teams
  • (Further) develop, implement and maintain database systems and processes for the Programmes team including an integration with the website;
  • Develop, implement and maintain a cloud based grantee platform linked to the current database system;
  • Oversee quality control of database input and analysis; develop business rules together with the team; ensure adherence to business rules; ensure that data entry is accurately completed to facilitate efficient grant tracking, planning and monitoring;
  • Run periodic (standard) data analyses and reports of grantmaking trends, portfolio analyses, and develop reports based on the needs of the Programmes team;
  • Liaise with the Programmes team and the Learning and Evaluation Specialist to support and improve database systems for programme evaluation and knowledge management.
C. For the Finance and Operations team and Cross-Departmental
  • (Further) develop, implement and maintain database systems and processes for the Finance and Operations team;
  • Liaise with the Finance team, including grants administration, to integrate Exact with Salesforce;
  • Develop, together with stakeholders, reports and dashboards in Salesforce to support the different team activities;
  • Provide staff with training and support for database optimization and management information reporting;
  • Regularly audit all data management systems to ensure integrity and adherence to business rules as well as identify and improve areas of weakness;
  • Maintain all "Standard Operating Procedures" and business process documentation;
  • Report on matters related to database, to the Team Director, and therefore organise monthly meetings with the Team Directors (incl. preparing the agenda and taking minutes).
D. Management
  • May supervise an Associate;
  • Supervise interns and volunteers as needed.
KNOWLEDGE, SKILLS, AND ABILITIES
  • Must have a commitment to women's rights and to the goals and work of Mama Cash;
  • Must have strong experience in data and process management systems preferably Salesforce, with strong preference on working experience in a fundraising environment;
  • Strong interpersonal skills, with the ability to interact with people from a wide diversity of backgrounds and cultures, and the ability to translate user needs into analytical or technical solutions;
  • The ability to see the big picture whilst having an eye for details;
  • Good, demonstrable command of English and preferably Dutch, verbal and written;
  • Supervisory skills desirable;
  • Experience with budget responsibility;
  • A strong ability to independently develop and maintain external relationships and in possession of a relevant and broad network;
  • A strong ability to work both independently, make decisions and interact as a member of a team to motivate, and to work well with colleagues from different departments;
  • Extensive knowledge and command of MS Office applications (especially Excel) and manipulation software (e.g. SPSS, Business Objects and MS Access and query languages like SQL).
EDUCATION AND EXPERIENCE
  • Minimum of 4 to 5 years professional experience in data management and data analyses with emphasis on direct marketing;
  • Experience with working with Salesforce.com and Exact or willing to learn to work with these systems;
  • Fluently in Microsoft Excel and/or Google spreadsheets;
  • HBO/University-level education in the area of database management;
  • Familiarity with developments within the field of professional fundraising, and the ability to translate and implement these into action plans.
