Asia Society, a prestigious, global, educational and cultural non-profit seeks a Program Assistant to assist responsible senior staff in all aspects of production and administration of New York public programs across the fields of policy and business programs.Responsibilities:
The Program Assistant for Policy and Business Programs works closely with responsible senior staff to help plan, coordinate and execute panel discussions, conversations, lectures, films and other events, including work on strategies for marketing and outreach through print, email and social media. The PA assists with other departmental administrative responsibilities as needed. The following is a break-down of major job responsibilities:
Programming: • The PA conducts research for programs-in-development and potential programs and helps develop program descriptions and contextual materials. The PA also researches and maintains information on countries/issues/trends, researches and identifies speakers, topics, collaborators/cosponsors, and writes context and framing questions.
Program Coordination/Production: • The PA helps to develop and coordinate event/production logistics, e.g. event staffing, speaker services, scheduling, program notes, travel arrangements, visa applications and marketing material development. The position involves working and coordinating with a wide range of individuals within and outside Asia Society, including speakers/program participants, press, venue staff, funders, technicians, and box office staff. The PA writes/edits/compiles materials for PR/Marketing purposes, graphic designers and web site. The PA inputs program descriptions through CMS onto the Asia Society website, as well as producing other printed materials, such as postcards, invitations, flyers, and program notes.
General Administration: • The PA works with other staff on a range of other departmental activities; coordinates information for institutional calendar and posts programs on the Asia Society website including subsequent updates; updates files and data bases, tracks budgets and helps with grant writing. The PA keeps records of all program descriptions and reports for development, administration, and PR staff. The PA must be able to work on all aspects of programming within a department of very limited staff.
The PA works within the institutional strategy to develop, create and maintain web content, which includes obtaining the rights for all materials to be published on the web, including photos, video images and recordings, etc.

Qualification:
Requirements:• Bachelors degree and 2-3 years' experience in policy-related field preferred; experience in a not-for-profit organization desirable. • Strong organizational skills, as well as excellent writing and computer skills (Microsoft Office including MS Word, Powerpoint and Excel and well as web CMS experience). Image, video, audio editing experience a plus. • Must be a team player, be comfortable and effective working with all levels of staff and with diverse groups of people from different cultures. • Must be capable of working on multiple tasks simultaneously, meeting deadlines, following through on details, and being flexible. • Must be able to work some evenings and weekends. • Some familiarity with an Asian language desirable.
