Advisory Services is an important pillar of IFC’S operations and supports the mission of reducing poverty and increasing shared prosperity. IFC’s Advisory Services complements IFC’s Investment Services and the two business areas are deployed in combination or separately to enhance development impact. 

The Advisory Services are organized on 4 Business Lines, Access to Finance, Investment Climate, Public-Private Partnerships and Sustainable Business Advisory. Each business have Global teams that focuses mainly on best practice, global expertise and transfer of knowledge and each Businesses line has regional teams that are mainly focused on delivering services to clients. Both Global and regional teams are based in IFC’s Istanbul office and are expanding. IFC therefore seeks to recruit an assistant to support the teams.

The candidate will work in a multi-cultural team and is expected to possess sound judgment, excellent interpersonal skills, be client and team oriented and contributes to a positive and constructive work environment. She/he will be ready to step up to challenges and take on new responsibilities as they may arise. The assistant is require to take on the full range of office support work including managing processes and monitoring schedules of the teams tasks and travel.
Duties and Accountabilities:
- Provide primary assistance to a team of Advisory Staff in the implementation of the group's work program, including support in arranging and managing travel logistics. 

- Organize external and internal meetings workshops, training, conferences, management meetings, interviews and other office functions, including audio and video conferences, handling logistical arrangements and assembling and distributing meeting materials, drafting minutes and ensure their timely clearance and distribution. 

- Create staff on-boarding announcements, internal correspondence such as memos and letters. 

- Coordinate time schedules in consideration of given priorities, independently resolve potential conflicts of schedules, communicate results appropriately. 

- Knowledge of IFC systems (including SAP, eConsult2, IFCDocs, ASOP, etc). 

- Initiate and assist in preparation of presentation, charts and graphs, sometimes on short notice for reports, workshops, meetings and business development (strong PowerPoint skills). 

- Provide back-up support to other assistants during absences or heavy workload. 

- Work with Managers, Project Officers, Analysts and HR coordinator, with high degree of discretion and confidentiality, to handle recruitment/procurement for STCs/STTs. Arrange interviews as well as evaluations/assessments.
Selection Criteria:
- The ideal candidate will have a Diploma with at least 5 years work experience in relevant position such as secretary, administration assistance in multi-national or international organization. 

- Excellent knowledge of relevant portfolio databases and systems, or excellent aptitude to learn new systems. Willingness to acquire quickly an excellent understanding and thorough knowledge of IFC s operational and administrative policies, procedures and processes and apply these skills. 

- Excellent organizational, administrative, and time management skills with proven ability to work promptly and efficiently under pressure and meet tight deadlines. 

- Ability to think independently, analyze problems and identify appropriate solutions and effectively address multiple tasks.

- Excellent skills and use of relevant computer software and IFC standard software applications (Word, Excel, PowerPoint, Lotus Notes). 

- Excellent team player with outstanding interpersonal skills and the ability to work with people at all levels (inside and outside IFC) with demonstrated team spirit and responsiveness. 

- Fluency in English is a must.

- Fluency in Turkish and other regional languages are a plus.
