Environmental Reporting and Compliance Manager

We are currently seeking to recruit a Environmental Reporting and Compliance Manager.


About the Role

The Environmental Reporting and Compliance Manager is a cross-functional role and reports to the Head of Finance, but interfaces with other programme, fundraising and operational colleagues. The position is responsible for ensuring that Plan’s strategy for being accountable for its environmental impact is operationalised and specifically that environmental impact is reported and trends analysed. Environmental reporting is a component of Plan’s compliance reporting and the role will be responsible for managing other cross-Plan data collection matters and onward internal and external reporting of these.

Main Responsibilities

Financial measures or statistics relevant to post such as budget; list of direct and indirect reports

  • The position deals will all environmental information from around 300 locations including Program Units, Country Offices, Regional offices, National Organisations and the International Headquarters (IH
  • All environmental reporting will be led by this position, for both internal and external audiences. External reporting will include publication as part of Plan’s Worldwide Annual Review and the Global Reporting Initiative
  • The post has responsibility for accurately compiling and filing compliance reports on time with the relevant regulatory body
  • The post has no direct reports, but maintains a network of staff with environmental reporting and management interests and responsibilities
  • The position will deal with contractors or consultants appointed for services or advice from time to time
  • The post has no permanent budget responsibility but may have project or workshop budgets to manage
  • The post holder will prepare reports and presentations for distribution and communication within Plan and present these in some forums

Plan’s environmental impact reporting is optimal and compiled accurately and clearly presents Plan’s environmental impact for internal purposes and for external publication

  • Review trends in environmental reporting best practice and review the quality of Plan’s reporting, in order to refine and change Plan’s annual environmental reporting processes as necessary, considering cost, practicality and transparency
  • Prepare the instructions for collecting data on environmental impact and ensure that they are properly communicated clearly and appropriately to all stakeholders and those responsible for data collection
  • Provide spreadsheets and other tools to facilitate Plan offices’ environmental reporting activities
  • Collate and review all the environmental KPIs reported from all parts of Plan globally
  • Prepare internal and external environmental impact reporting accurately and in accordance with timetables set. Reporting will include both the numerical measures, commentary on the trends and actions undertaken or planned.

The trends in Plan’s environmental impact are identified and appropriate recommendations are made that will reduce Plan’s environmental impact

  • Analyse the data to ensure accessible and usable reporting that clearly identifies the trends and underlying issues in Plan’s environmental impact
  • Work with environmental experts and stakeholders across Plan to identify actions that could be taken to reduce Plan’s environmental impact and to determine appropriate targets to set
  • Advise senior management on potential actions to undertake and targets to set and assist in implementing these within Plan’s normal performance management structure

Complete environmental reviews that enable a better understanding of Plan’s environmental impact

  • Undertake environmental reviews where appropriate
  • Identify specific actions to be taken to improve Plan’s environmental impact or reporting

Regulatory requirements are met accurately and on time, particularly US compliance reporting and optional / sector standards that Plan subscribes to

  • Ensure that regulatory requirements and other standards are reviewed at least annually and work with the Group reporting team and others to ensure that the necessary data is collected as part of Plan’s standard reporting routines and processes
  • Coordinate completion of the financial and environmental sections of the annual INGO report on time and accurately
  • Coordinate completion and internal approval of the annual report for the Internal Revenue Service in the US (Form 990) and liaise with the external advisor on filing requirements
  • Coordinate the annual audit for expenditure of US Federal Awards (the A133 audit), liaising with external auditors and Plan offices
  • Prepare and submit the calculation of the USAID overhead rate and act on queries or adjustments required (the A122 return)
  • Other reports as required.

Communications and Working Relationships:

Internal

  • High level of contact with environmental reporting contact points globally to ensure that environmental reporting procedures and timetables are complied with.
  • The post holder will liaise closely with the International Headquarters Group Reporting Manager
  • There will be a moderate level of contact with Deputy Regional Directors, Regional Finance Managers, Regional Administration Managers and NO Finance Managers, particularly around key reporting exercises, communications and action plans
  • There will be periodic contact with Plan’s senior management teams to report findings and develop action plans and targets
  • There will be a moderate level of contact with Plan’s Climate Change expert, the Disaster Risk management function, with the Strategy function and with the Group Legal function

External

  • This post must report to regulatory reporting agencies
  • Contact with advisors including the external auditors and the US reporting advisors will be relatively high around reporting events
  • The position will interact with INGO environmental networks and with external advisors as required

About You:

Knowledge

  • Strong analytical skills and ability to use the information received and to analyse trends
  • Knowledge and awareness of environmental management and reporting systems and of actions required to reduce environmental impacts would be desirable. An interest in general analytical abilities in the context of environmental impact management is essential.
  • Qualified accountant with management accounting capabilities is desirable
  • A knowledge of the Global Reporting Initiative and of US GAAP is an advantage but not essential

Salary: Circa £38,671 per annum
