Systems Optimisation Project Management


The British Chamber (BCCB) is currently looking for an intern Assistant to support its Systems Optimisation Project and the Finance & Administration Manager. The candidate should ideally have strong project management skills and a grounding in all finance (treasury, budgeting) and book keeping (accounting) activities, business control, facilities management & procurement, management and evaluation. They should also be able to speak in French and English. We are looking for an individual with a high level of organisation, and a strong interest in systems, finance and administration.
The British Chamber Intern Programme is an ongoing 6 month and/or year internship programme where they work with the British Chamber team and develop their organisational and communication skills, acquire project management skills, gain cross cultural awareness and learn how to work in a culturally diverse workplace.
Key Responsibilities
Project Management activities
Systems Optimisation Project: Responsible for various tasks of project managing the optimisation of BCCB’s Member Relationship Management System and Database, how this is integrated in its website and the seamless integration of Membership Applications, Event Registrations, Member Communications in a new web-based platform that is linked with the Financial Management system.
  •  to assist in managing the day-to-day relationship with the Vendor who is delivering the systems optimization project and BCCB’s Accountant
  •  to assist in mapping the requirements of the new systems utilisation for all functional requirements (Data Management, Member Relationship Management, Application Management, Event Registrations, Communication, Website functionalities and Brand Building aspects)
  •  to assist in the development of the new web site
  •  to assist in the development of the new Member Relationship Management System
  •  to assist in migrating the BCCB organisation from the old to the new situation (Data Transfer)
  •  to assist in the development and implementation of the user training programme for all users of the new system.
  •  to assist in ensuring the roles & responsibilities of the new systems set-up are embedded in all role profiles across the BCCB organization.
  •  to assist in ensuring the ongoing post-implementation measurement & evaluation processes are in place
Controller and Accounting activities
Assisting the Finance & Administration Manager in the various tasks of financial administration and the production of timely and accurate management information
  •  to assist in management of all incoming and outgoing invoices
  •  to ensure follow up of accounts receivable and dunning (reminders)
  •  settling unbalanced invoices with internally approved credit notes
  •  maintaining bank statements and reconciling bank statements with our accounting system,
Office administration activities
  •  IT technical support and repairs and maintenance, key interface with IT contractor (no technical expertise required)
  •  office material supplies, including liaison with suppliers of goods and services
  •  customer service management call reception and forwarding and front desk welcome (FR/EN essential)
  • mail handling
Location
The internship takes place at the British Chamber office, Boulevard Bischofssheim 11, 1000 Brussels Belgium. The office is located at Madou metro station.
Work hours
Office Opening hours are as follows:
Monday – Thursday: 09.00 – 17.00
Friday: 09.00 – 16.00
Type & length of internship
Full time internship – is where work is performed on regular basis as if working for the organisation.
Length
Typically interns start in August/September through until January/February or January/February through until May/June. However we can be flexible, depending upon college requirements.
Financial aspects
This position is not an employed position but is a paid internship in accordance with local labour law (contrat d’immersion professionelle / beroepsinlevingsovereenkomst)
