Human Resources & Office Assistant
Background
War Child works with children who, as a result of conflict, live with a combination of poverty, exclusion and insecurity. These children might include street children, child headed households, children conscripted into armed groups, and children who have been put in prison. Purpose of Role
The Human Resource & Office Assistant (volunteer) is ideal for applicants who are looking to develop their experience in Human Resources (HR) and administration within the charity sector.
Key Responsibilities / Deliverables
HR • Assist in updating and researching organisational HR policies and procedures where required. • Support Recruitment & Selection, including placing adverts, reference checks, offer letters, contracts etc. • Process DBS (Disclosure Barring Service) checks under War Child’s Child Protection Policy • Create and maintain staff folders and HR database • Ensure records for annual leave, other staff leave and sickness are kept up to date • Assist in collation and analysis of data for Equal Opportunities & Diversity purposes • Assist in quarterly collation of data for HR key performance indicators for reporting to Senior Management Team and Trustees • Support HR & Office Manager in responding to ad hoc HR queries from UK and International staff
Programmes • Assist with visas and travel arrangement bookings for UK and international staff. • Book and arrange inductions, travel, and pre-assignment medicals for newly recruited international staff.
IT • Support with general IT problems within the UK office and for overseas employees working remotely. • Set up new user accounts and maintain group and general accounts. • Ensure shared drive is well maintained, with systemised filing across the organisation
General office management • Audit and maintain office filing system • Assist HR & Office Manager with procurement and relationships with UK suppliers (e.g. recycling, security firm, couriers, taxis etc), reconciling information with UK accounts team on a regular basis • Manage general incoming mail and email, responding to and forwarding to the relevant person where necessary • Manage meeting bookings within UK office, and (for Senior Management Team and Trustees) external to UK office • Welcome visitors to War Child UK, making sure that they are comfortable and introduced to the relevant person • Perform other duties as may be required from time to time to support War Child UK, as requested by the HR & Office Manager or any member of the Senior Management Team
Terms & Conditions • This role will be a 4-6 month placement, working 3/4 days a week. • This role involves working in War Child’s offices in Kentish Town (NW5) • This is a voluntary position, with a lunch allowance of £5 per day, and travel costs provided (for travel within zones 1-6 of London transport network)
