Job Description

We are looking to recruit an Events Supervisor to coordinate the logistics and administrative support for events organised by the EMBL-EBI Training Team and Industry Programme. Providing advanced bioinformatics training to thousands of scientists a year is one of the cornerstones of EMBL-EBI's mission. We organise a full programme of courses and workshops on site in our new South Building, which is equipped with two state-of-the-art IT-training rooms and generous breakout space. We also provide off-site workshops worldwide. 

The post-holder will be responsible for a small team of events organisers whose primary goal is to ensure that EMBL-EBI’s training and industry events run smoothly and to the highest possible standard. The Events Supervisor will ensure that the team's workload is distributed fairly, that administrative tasks are allocated according to skills and experience, that team members are coached to develop their skills, and that team members take responsible 'ownership' of the events that they run. EMBL-EBI’s training programme forms an integral part of the prestigious EMBL Course and Conference Programme, and the role involves regular liaison with the EMBL Course and Conference Office to develop and maintain shared working practices across EMBL sites. It also involves liaison with other events coordinators on the Wellcome Trust Genome Campus to ensure that events that EMBL-EBI co-organises with the Wellcome Trust are run to agreed standards and processes. The Events Supervisor is responsible for: the management of EMBL-EBI’s registration system; profit and loss reconciliation for events run through this system and monitoring the team budget in general.

Qualifications and Experience

There are no formal qualifications required for this role although a diploma or degree in a hospitality-related subject would be an asset.
The ideal candidate will have been responsible for organising events, ideally ranging from ten to more than 100 participants, from start to finish. S/he will have excellent customer-facing skills, being familiar with and empathic towards the needs of professionals travelling to international events as speakers and delegates. S/he will be comfortable planning several events simultaneously and working seamlessly with colleagues to cover for planned and unplanned absences. S/he will have proven organisational and project management skills and experience of managing or supervising others. 

Excellent English language, communication and interpersonal skills are essential.
