Regional Emergency Coordinator Assistant - Lebanon

MAIN RESPONSABILITIES OF THE POSITION
 Personal Assistance;  Representation;  Advocacy;  Internal and External communication;  Reporting
MAIN TASKS OF THE POSITION
Under close supervision of the Regional Emergency Coordinator you will be in charge of:
PERSONAL ASSISTANCE  Facilitation of external appointments and meeting with REC  Facilitation of action plan and monthly planning  Intelligence on external stakeholders issues  Reporting of informal events that may affect the activities
CONTEXT AND SECURITY FOLLOW-UP  Transmission of security and contextual “hot” information to REC.  Active participation to the weekly regional context briefing (coordination meeting).
PARTICIPATION TO THE REPRESENTATION OF THE ASSOCIATION  Participation in external meetings in the region (depending on REC agenda conflicts).  Attendance to other meeting upon request from the REC;  Facilitation of REC representation towards local partners and stakeholders in the respect of the organization image and principles;
INTERNAL COMMUNICATION  Dissemination of formal information/feedback from regional office to country missions.  Facilitation of missions’ weekly newsletter  Writing of the monthly regional newsletter  Participation to conflict resolution (personal and professional) within the whole team;  Visits within the regional missions, upon specific assignment by REC
EXTERNAL COMMUNICATION & ADVOCACY (in close link with REC)  Upon assignment, update of the contextual regional strategy paper  Writing/adjustment of case studies.  General advocacy follow-up and facilitation (excepted inclusion lobbying, already supported by dedicated staff), within the different missions: o Identification of key external issues and messages at operational and coordination level. o Update of key messages compiled documents. o In close link with HI advocacy departments, drafting targeted advocacy papers. o Follow up of feedbacks.
REPORTING AND CAPITALIZATION  Updating of contact lists :  Participate to the NE monthly situation report (SITREP);
PARTICIPATION TO THE SYRIAN CRISIS INGO REGIONAL FORUM PROCESS  Preparation of meetings (support material, agenda)  Writing of minutes of meeting  Follow-up of members.
