Assistant to Director Luc Hoffmann Institute

We are looking for an Assistant to Director Luc Hoffmann Institute who will be responsible in assisting the Director Luc Hoffmann Institute in the day-to-day management of designated administrative duties. The incumbent will be working with a team of world-class thinkers who will help deliver the ambitious objectives of WWF’s Global Initiatives. Location:

WWF office in Gland, Switzerland.
Main responsibilities:
  • Coordinates travel and logistics for small and large meetings organized by the Luc Hoffmann institute, including arrangement of travel, accommodation, and per diem for collaborators and supervisor.
  • Edits correspondence, reports and documents to build the institute
  • Organises and prioritises agenda, meetings and appointments and endeavours to streamline supervisor's workload.
  • Keeps internal finances for various sub-budgets
  • Creates spreadsheets and presentations
  • Answers and screens inquiries e-mail and correspondence independently where possible, based on familiarity with subject matter, and refer others to appropriate staff member or department.
  • Undertakes other tasks as assigned and carries out duties relying on own initiative and independent action to assist supervisor with scheduling and completing work assignments.

What you need:

Required Qualifications, Skills and Competencies
  • Secretarial/Administration diploma from a commercial college or equivalent.
  • At least 3-5 years relevant experience in logistics coordination and office management , preferably with a strong background in the area of communications/marketing/media
  • Attentive to detail and follow-up with excellent organisation and prioritisation skills; efficiency;
  • Excellent communication skills, empathy and people-oriented;
  • Diplomacy and Capacity to take initiative and work as part of a team;
  • Ability to research information and synthesize it;
  • Excellent computer skills with expertise in MS-PowerPoint and MS-Excel;
  • Additional software skills would also be useful, including WordPress, Adobe InDesign, File Maker, Access etc.
  • Written an Speaking fluency in English required, fluency in French suggested.
