Job PurposeSupervise all activities related to the on boarding of new joiners for a dedicated Division to provide a world class customer service experience. Provide “ongoing and value added support” to the HR Shared Services functions in handling various projects if required by the Line Manager.
Responsibilities
  • Supervise the on-boarding of new joiners for one or more Divisions to ensure that all SLA’s and business practices are met. Liaise between stakeholders and On-boarding team to harmonize the multifaceted operation; this includes, but not limited, with Recruitment, Line Department, Government Relations-Visa, Learning and Development–Induction, Payroll, Corporate security, IT, Staff travel, Hotel booking, Insurance, Transportation and Finance, as well as, external agencies such as Medical checkup facility, Emirates ID Authority etc.
  • For the respective Division; be a single point of contact with the Hiring Managers from the Division; keep regular contact with the business to understand their requirements and to advise them on the on-boarding formalities.
  • Be a single point of contact for the New Joiner from the point of Offer acceptance; answer all queries and advise new joiners on the requirements and the different steps in the On-boarding process
  • Supervise and provide guidance and support for the documents collection for security clearance purposes (UAE based) or facilitate document collection required for outstations to eliminate the lengthy time consuming process; 
  • Ensure that a Contract is signed with the new joiner / starting date is agreed in a timely manner and in accordance with SLA
  • Supervise the arrangement of all the necessary requirements (visas, hotel, transport, family visas etc.) for the new joiner’s transfer from their existing organization to EY in a professionally manner to ensure a world class service is extended to the new joiner
  • Co-ordinate the dealing of On-boarding team with the internal stakeholders such as IT team and Corporate Security to procure the pre joining materials and equipment for new joiners. Plan and execute the pre joining arrangements effectively by delegating the tasks to the appropriate team members and assure that the timeframe have met.
  • Propose alternative way of doing things when and where required, for achieving better result. Establish the process changes; contribute and take up additional tasks as assigned by the Line Manager
  • Provide periodic reports on pre-defined SLA; track new joiner readiness and share with the respective stakeholders
RequirementsQualification & Education:
High School Level Education
Experience:
Preferably with 3 to 4 years in HR or travel industry background
Training & Knowledge:
  • Good administrative and organizing skills
  • Excellent written and verbal communication skills
  • Computer literacy (Microsoft Word and Excel)
