Job Description
GENERAL FUNCTION:
The Program Associate provides general administrative, accounting, clerical and technical support to the Internews Center for Innovation and Learning (ICIL) and the Global Initiatives (GI) department. The Program Associate will provide personal support to the Senior VP of the Center as well as back-up for representational requests, donor reporting and project deliverables for both the Center and the Global Initiatives department.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following; other duties may be assigned:
• Organizes tasks to support program development objectives, manages administrative tasks in accordance with project timelines.
• Coordinates travel logistics, including visa requirements, travel, and accommodations for staff and visitors.
• Keeps calendar for supervisor, ICIL and GI. Schedules and assists with logistics for meetings and events.
• Produces expense reports and submits vouchers.
• Maintains files and records for the ICIL and GI.
• Prepares wire transfer requests, check requests, and/or other payment documents.
• Assists in the preparation of proposals/reports/budgets; line-edit, revise and assemble finished materials.
• Maintains project activity tracking schedules for project development, field reports, and follow-up communications with funders.
• Works closely with Senior VP and the Director of Research to proof and edit donor reports, and maintains calendar of due dates.
• Assists with assessments, surveys, conferences and other project deliverables as needed.
• Compiles monthly project updates and drafts and edits web stories.
• Provides support to the Innovation Advisors and GI Technical Directors in drafting project proposals as needed.
• Coordinates with consultants and partners on mid-term and final evaluations, coordinates production of quarterly reports.
• Prepares correspondence and reports from conferences and discussion panels as requested.
• Represents Internews at conferences and events, with funders and with policy experts.
• Fulfill other tasks as assigned by the Senior VP and Senior Director.
QUALIFICATIONS
• Relevant university degree required.
• 2 years programmatic experience and financial and administrative experience, including project deliverables and timelines, deadlines, budget analysis and preparation.
• International experience preferred.
• Excellent organizational skills and attention to detail
• Previous work experience on development programs a significant asset
• Grant proposal/report-writing experience
• Strong interpersonal skills including diplomacy, tact, and the ability to negotiate
• Excellent English communication skills: speaking, writing, and listening
• Proven ability to set priorities, meet tight deadlines, manage multiple assignments and time effectively
• Ability to adapt to changing project and department needs and priorities
• Proven analytical and problem-solving ability
• Proven ability to work both independently and as an effective team member
• Proficient in Windows Office Suite
• Ability to “manage-up” to maintain project timelines
• Regional language (French, Arabic or Russian) skills helpful
• Experience with ICT4D and technology helpful
• Ability and willingness to travel internationally, sometimes to hostile or challenging environments
