The Administrative Assistant will work within the Project Support Team.
The Project Support Team (PST) assists the tendering and implementation teams of the Technical Cooperation (TC) and Framework Contract (FWC) Units in their daily activities by providing administrative and operational support. Due to its horizontal positioning, the PST has also the role of centralizing and sharing information among Units and teams in order to achieve better coordination and work efficiency.

Job description:

  • Take care of the general administrative management of tendering processes in the Technical Cooperation Unit
  • Assure the quality in the administrative compliance of the tenders;
  • Assist the Unit to manage information and deadlines;
  • Support the Unit in assuring qualitative and timely delivery outputs (project proposals, reporting, etc.);
  • Assist the Directors in their day to day operations;
  • Support the project managers for the implementation of projects worldwide;
  • Backing up the Project Assistant of the Framework Contract Unit during his/her absence or through heavy workload periods;
  • Any other administrative and logistic tasks that can be required within the scope of activities of the Project Support Team.

Profile:

  • At least 2 years of experience as administrative or project assistant; previous experience of EU funded project is a distinct asset;
  • Fluency in English & French;
  • Good knowledge of Microsoft Office tools;
  • Good organization, rigorous, attention to detail;
  • Good interpersonal skills;
  • High level of commitment and integrity;
  • Capability to work under pressure (deadlines) and to receive tasks from various persons;
  • Behavioural flexibility, creativity/initiative;
  • Oral and written communication skills;
  • Tolerance for stress.
