Job purpose and key deliverablesWe have a great opportunity for an experienced Executive Administrator to support one of our Marketing Teams based at our Global Headquarters in London. This is a fixed term maternity contract.

Accountabilities:


  • Arranging and booking travel, accommodation and visit itineraries, including visas. 
  • Process expense claims for managers ensuring they are reconciled and submitted in line with Company policy. 
  • Verify all charges on invoices and pass for payment in line with Company procedures.   
  • Raise Joiner, Mover and Leaver requests and liaising with relevant involved functions, such as IT and Facilities. 
  • Arranging WebEx ’s (online conference), Telepresence and face-to-face meetings. 
  • Act as the Records Coordinator for the team ensuring electronic and hard copy records are stored and filed according to the Workgroup policy. 
  • Helping and providing support to the full team with BAT system problems and IT issues. 
  • Coordinate conferences, seminars and workshops for BAT and Non-BAT personnel including sourcing venues, negotiating prices, assisting foreign delegates, creating multimedia presentations, invitations, agendas and packs as required.
Essential requirements

  • Proven track record of administrative experience. 
  • Possess first class organisational skills with prioritisation and the ability to plan is vital. 
  • Excellent interpersonal and relationship management skills with key stakeholders, especially team members and the agency at all levels. 
  • Excellent IT skills. 
  • Assertiveness skills with the capability of appropriately informing team members of all types of information. 
  • Powerpoint presentation skills to create presentations for managers on an ad hoc basis.
