ICANN has an exciting new opportunity for an Executive Assistant to the Chairman of the Board. This position will work directly with the Chairman of the Board with guidance from the Board Support Manager in the scheduling of meetings and conference calls with multiple individuls in varying time zones. ICANN is an unusual global organization.   • Key Responsibilities:
  • Prepare calendar invitations on behalf of the Chairman of the Board and any meeting materials necessary (including distribution of materials to the meeting participants).
  • Set-up frequent conference calls and monitor calls as necessary (this may require monitoring calls before or after normal business hours).
  • Maintenance of the calendar of the Chairman of the Board working closely with Los Angeles Board Support Staff obtaining pertinent information which needs to be entered or updated on the Chairman's schedule.
  • Assist with travel arrangements to all ICANN sponsored events working closely with the Board Support Coordinator and ICANN Constituency Travel Support.
  • Support Chairman of the Board while traveling as required.
  • Travel arrangements to Non-ICANN events, visas, hotels and coordination.
  • Establish excellent working relationships with members of the Board Support department, legal department, executive team, Board of Directors and key members of the ICANN constituencies.
  • Conduct routine administrative duties such as completion of expense reports, filing, data retrieval, background information on meeting participants as required.
Required Skills
Qualifications / Requirements:
Highly proficient English language skills are required.
Highly organized with the ability to multitask effectively.
Sound judgment and sensitivity to confidential documents and issues.
Advanced technical skills with the ability to learn/adjust to other systems when required.
Strong interpersonal and communication skills.
Additional multi-language skills preferred but not required.
High level of diplomacy, tact and discretion.
Ability to work in a dynamic and fast paced environment.
Understands and demonstrates sensitivity to different constituent needs.
Required Experience
  • Minimum 5 years experience in a large, complex and successful political / non-profit organization.
Minimum 5 years experience in progressively more responsible administrative role.
Experience in arranging international travel and processing visas when needed.
MAC and PC profiency as well as expense report processing.
