Administrative Assistant

ESSENTIAL DUTIES AND RESPONSIBILITIES
· Provide operational support to NDI’s Syria program office in Gaziantep, Turkey, assisting program staff to design, implement, and evaluate governance strengthening program;
· Manage logistical and administrative matters for the Resident Representative and Program Officer, including meeting schedules and travel arrangements;
· Maintain Syria program team calendar, including internal meetings and partner consultations;
· Collect national staff timesheets on a bi-weekly basis and review for accuracy;
· Calculate and maintain records of annual leave and severance payments for national staff;
· Serves as main office liaison to landlord, and building maintenance staff;
· Conduct ongoing inventory management of programmatic expenses;
· Develop and maintain tracking systems for programmatic and financial information, including timely submission of field reports, donor reports, subgrantee progress and financial reports, and timesheets;
· Assist in organizing program activities and monitoring/reconciling assigned program budgets/expenditures;
· Provide administrative and logistical support as needed, i.e. travel/tickets, reservations, training preparations, per diem distribution, etc.;
· Distribute NDI materials and other resources to program beneficiaries; and
· Work closely with NDI’s Washington, D.C.-based program team to ensure timely submission of reports and administrative compliance with NDI internal policies.
· Provide written and oral translation for Resident Representative from English to Turkish and vice versa on a regular basis;
· Prepare and distribute daily media clippings to NDI-Syria staff and NDI Washington, DC-based staff; and
· Perform other duties as assigned by Resident Representative even at non-traditional working hours when required.
EDUCATION OR EXPERIENCE
· University degree at a recognized college or university;
· Experience in international development, community organizing, civil society activism, or organizational development.
REQUIRED SKILLS AND ABILITIES
· Written and oral Turkish and English language skills required, as well as Turkish to English/English to Turkish written and oral translation abilities;
· Turkish to English/English to Turkish translation skills requested;
· Good interpersonal skills to effectively interact with all levels of staff, international personnel, political actors, and the NGO community;
· High level of oral and written communication skills to effectively present information and respond to questions in English and/or Turkish ;
· Capacity to work both independently and as a member of a team;
· Ability to define problems, collect data, establish facts and draw valid conclusions;
· Working knowledge of Google Apps (Gmail, Calendar, Google Drive, G+, etc.) and PC-based word processing and spreadsheet applications;
· Working knowledge of basic budget and accounting procedures;
Ability and willingness to travel to regional locations as well as Syria, security situation permitting.
