Objectives

The Security Unit Clerk is responsible for handling all administrative and support issues for the Security Unit. This position requires confidential clerical work using digital systems for difficult and specialized security functions. Primary responsibilities include, but are not limited to; monitoring and managing the electronic access control systems, downloading sensitive information from CCTV and access control systems, information input and follow-up in SAP, creating all documents for procurement of security equipment relative as directed by the Security Unit, extensive security support functions for special access programs, and contact with the field offices in order to provide increased security support for the field. The Security Clerk is the primary receptionist for the Security Unit, and is responsible for the production and maintenance of the security access control database as well as fabrication of access control badges.

Duties and responsibilities

Under the supervision of the Head of Unit, the incumbent will carry out the following duties and responsibilities:

  • Serve as webmaster for the Security Unit web site on the intranet.
  • Process the Security Unit documents in SAP.
  • Process Security procurement and payment transactions in SAP.
  • Operate Security Unit software and hardware relative to the access control and CCTV systems.
  • Produces access control badges using current software and hardware.
  • Provide support to the Field Office as directed by the Unit.
  • Function as a receptionist for the Security Unit.
  • Maintain SECU Intranet web pages.
  • Secure classified security information.
  • Pick up and delivers mail and internal/external correspondence.
  • Design, organize and maintain all security documentation in electronic format.
  • Draft, type and edit Security Unit documents such as inter-office memorandums.
  • Communicate as “network control officer” on the planned Security Unit VHF radio system.
  • Provide recommendations in areas such as; budget information and advice, security technology upgrades, field office improvements, security web improvements and enhancements, and access control recommendations.
  • Perform other relevant tasks assigned by SECU leaders.

Selection Criteria

  • Minimum of BTS, DUT, Licence or its equivalent in Social Science, or other related disciplines.
  • A minimum of 3 years of relevant practical working experience in the field of security.
  • High level skills in communication and organization, along with excellent customer service and a good team player.
  • Must pass SECU background check.
  • Knowledge of SAP systems as employed by the ADB.
  • Experience in access control systems and a working knowledge of “Prowatch” security systems.
  • Excellent written and verbal communication skills in English and/or French, with a working knowledge of the other language. Excellent customer service.
  • Webmaster qualified. Competent in the use of Bank standard software (Word, Excel, Access and PowerPoint) and SAP.

Candidates under serious consideration must not have any criminal record and will be required to pass an ADB Security Unit background check.
