Human Resources Assistant

NDI seeks an HR Assistant to provide general administrative and basic human resource support to the DC-based HR team. The well-qualified candidate will possess knowledge of basic human resource processes, protocols and related federal/state regulations, as well as demonstrated HR administrative experience and/or coursework in human resources. This position is based in Washington, DC and reports to a Regional HR Manager, with ultimate reporting to the HR Director.


Responsibilities

  • Interfaces with NDI staff members and provides basic HR information (benefits, compensation, etc.) and/or directs to appropriate HR staff members for follow-up.
  • Performs HR administrative tasks and contributes to HR processes related to, but not limited to: recruitment, employment authorizations, orientations, HRIS and database management, contracts, timesheets, expense tracking, A/P, performance evaluations, team scheduling, general administrative duties and special projects.
  • Drafts, processes & tracks consulting contracts; manages consultant files and data.
  • Assists in the accurate and timely completion and tracking of appropriate personnel documentation related to Project Assistant & Intern hiring, separation procedures, and other HR-related matters.
  • Facilitates the coordination of all orientation sessions for all employees. Conducts Intern and Project Assistant orientation sessions, including presentation of modules.
  • Updates HRIS database with organization-wide changes, employee data, and consultant engagement information.
  • Posts job openings on various external websites, as well as internal posting distributions and postings towww.ndi.org. Assists in the management of online recruitment systems and databases.
  • Drafts, finalizes and distributes employment offer letters.
  • Manages the content and appearance of HR team portal pages.
  • Posts and maintains the Comings & Goings notification on a weekly basis.
  • Audits I-9 forms and documentation for accurate completion on a prescribed schedule. Collects and accurately processes I-9 forms and documentation for Project Assistants & Interns during orientation sessions.
  • Monitors employment eligibility statuses for DC-based employees.
  • Tracks and processes all non-benefit related HR invoices for payment.
  • Manages staff development portal content and processes all course requests, in coordination with the Regional HR Manager.
  • Performs administrative duties including timesheet processing, mail distribution, file maintenance and maintenance of HR Director scheduling.
  • Supports the planning and organizing HR team functions including, but not limited to: briefings, meetings, parties, lunches and special events.
  • Performs other duties as assigned.


Experience Required

  • Minimum one (1) year of completed coursework toward an undergraduate degree or certificate program in Human Resources, or one (1) year of relevant work experience in an HR administrative support role required. Bachelor’s degree in HR preferred.
  • Expert in Microsoft Word, PowerPoint, and Excel required; experience with Googledocs, Gmail/Gmail calendars and database management helpful.
  • Experience with data entry into and report writing from HRIS systems (Lawson experience helpful).
  • Experience maintaining HR paper and electronic filing systems (personnel and benefits data).
  • Strong interpersonal skills and cultural sensitivity to effectively interact with all levels of staff.
  • Strong oral and written communications skills in English, including accurate grammar, punctuation and communication composition, to clearly and efficiently present information.
  • Foreign language ability helpful.
  • Ability to type a minimum of 50 WPM.
  • Ability to keep self and others well-organized and goal-focused.
  • Capability to work effectively both independently and as a member of a team.
  • Ability to practice discretion and maintain strict confidentiality and security of personnel files and information.
  • Ability to prioritize workload, multitask and pay strict attention to detail and accuracy.
  • Ability to produce large volumes of accurate documents in a short period of time using computers, scanners, and printers.
