Administration and Accountancy Officer

EVBB (European Association of Institutes for Vocational Training) and EVTA (European Vocational Training Association) are looking for a dynamic and motivated Administration and Accountancy Officer to join a small team based in Brussels.
Both EVBB and EVTA are networks of European organizations in the field of Vocational Training and Education and Human Capital Development. During their longstanding history both organizations have developed into an important actor within the field of European Vocational Training. Through EVBB and EVTA, their members influence and stay updated on EU-policies and participate in European development projects.
The Administration and Accountancy officer will be in charge of overall administrative tasks of EVBB and EVTA. We are looking for a motivated person willing to work in an international environment, being able to work independently but also in close collaboration with other colleagues.
Key Results
  • Ensuring the efficient management of the EVBB and EVTA finances and the administration
  • Office management and coordinating office maintenance
  • Administrative support to the Secretary General
Main Responsibilities
Administration and bookkeeping:
  • Day-to-day administrative and financial activities (book keeping and accountancy)
  • Checking invoices in/issue invoices out
  • Managing credit card statements
  • Recording financial documents in compliance with the German tax system
  • Recording financial documents in EVTA accountancy
  • Ensuring through check of invoices in/debit notes/expenditure claims and the corresponding supporting documents and through necessary follow up that the specific requirements of the donors are met
Office management and maintenance:
  • Provide administrative support to the Secretary General, and if needed to the Senior Coordinator
  • Manage the office and coordinate with maintenance and cleaning support
Please note that other tasks may be included at the request of Secretary General.
Your profile
  • Bachelor’s degree or work experience in financial accounting / administration or related field;
  • Relevant training and professional qualifications
  • Previous office-based experience in a secretarial or financial accounting position;
  • Previous experience in a European or international work environment is an asset;
  • Experience in the field of bookkeeping and office administration
  • Experience in the field of German and Belgian accounting
  • Good grasp of administrative and financial procedures
  • Capable of working independently and extremely accurately
  • Excellent organizational skills
  • Flexible and adaptable
  • Stress resistant
  • Open and friendly personality, able to work efficiently in an international team
  • Excellent command of written and spoken German and English
  • Other languages – French and / or Dutch would be an asset  
  • Comprehensive IT literacy
Conditions:
  • Working hours: 15 hours on freelance basis (maximum 18.75 hours per week)
  • Salary: to be negotiated
