Administrative Assistant

UITP (International Association of Public Transport) is a passionate champion of sustainable urban mobility and is the only worldwide network to bring together all public transport stakeholders and all sustainable transport modes. We have 1,400 member companies giving access to over 18,000 contacts from 96 countries. Our members are public transport authorities and operators, policy decision-makers, research institutes and the public transport supply and service industry.
We are currently looking for an:
Administrative Assistant
To provide organisational and administrative support to the Marketing, Communication & Business Development Department.
Responsibilities will include:
  • Administrative/organisational support to the team
  • Planning and organisation of meetings and business trips for the team
  • Managing the agendas
  • Follow up of weekly pay reports (pay acknowledgements)
  • Send certificates, packs, ambassador cards to members
  • Handling of written correspondence and phone communication, minor translations, typing of minutes when needed
  • Assistance on some specific projects (mainly to support the communication team)
  • Contact management and some update of the database
Ideal candidate will have the following profile:
  • Excellent organisational skills
  • Good computer skills (MS Office advanced user/ Internet)
  • Excellent knowledge of English and French (oral and written)
  • Problem-solving attitude and sense of initiative
