Administrative Assistant / Receptionist

The International Association of Oil & Gas Producers (IOGP) is recruiting an administrative assistant / receptionist (M/F)
Paid internship 1 year
Minimum 3 or 4 years study after secondary school
Knowledge and attributes
  • Aptitude for learning
  • Ability to multi task & prioritise
  • Fluent in English (working language) and French
  • Good communication and organisational skills
  • Clear methodical approach
  • Motivation to carry out routine tasks without prompting
  • Willingness to help out with tasks outside general job description
  • Ability to approach others for assistance, and to check when in doubt
  • Good working knowledge of MSOffice (Outlook and Word are a must, Excel and PowerPoint a plus) and Internet
ResponsibilitiesClerical assistance
  • Assist 2 Managers in their daily work, incl. travel requirements
  • Assist Office Manager whenever there is excess workload
  • Organise telephone conferences & meetings
  • Help with mailings
  • Take charge of meeting room reservations, handle meeting logistics and order lunches
  • Arrange couriers
  • Handle incoming and outgoing mail + distribution to staff
  • Keeping data base up-to-date
  • Greet visitors & suppliers
  • Answer phone calls and redirect to staff
Office/kitchen supplies
  • Maintain stock levels of office stationery
  • Maintain kitchen supplies for staff and meetings
  • Reports to the Office Manager of IOGP
