PRACE Mission:
The mission of the Research Infrastructure PRACE is:
- the development and provision of an Infrastructure at European level which allows the scientific communities, including those within industry, to access European large-scale computing and storage systems;
- the management of the coordination between Tier-0, Tier-1 and Tier-2 resources operated and/or coordinated by the PRACE Research infrastructure to deliver world class services to the European Research Community with large-scale computing and storage resource, support and training needs;
- the provision and rationalization of access to the Infrastructure by qualified European and international scientific communities, either academic or industrial, whose projects can be evaluated for such purpose.
Responsibilities:
Under the authority of the Managing Director of the PRACE Association and its Board of Directors, the responsibilities of the successful candidate will be, but are not limited to:
- providing assistance by screening telephone calls/enquiries/requests and routing them when appropriate;
- liaison with the Association’s Council, Scientific Steering and Access Committees (SSC and AC) and scheduling internal and external appointments;
- welcoming and looking after visitors of the Board of Directors;
- general office administration and documentation support, maintaining the archive;
- written correspondence in English/German/French, ideally also good spoken skills in Spanish or Italian;
- coordinating and arranging travel and accommodation based on the Travel Rules of the Association;
- assisting in the organization of major conference events;
- preparation of presentations, handouts, and statistics;
- management of the conference rooms, i.e. handling preparations of the Council, SSC and AC, attending to participant requests, and tidying up afterwards.
- assisting in the implementation of internships of members of the Association;
- other projects/duties as assigned.
Required Qualifications:
- First degree (Bachelor’s degree or equivalent) in a relevant field e.g. International Management/Business Assistant, Business Communication, International Relations, European Secretarial studies, or Office Management;
- At least 2 years experience as Assistant and Office Manager in an international working environment;
- Previous experience in working in a multi-national environment; sensitivity and respect for diversity;
- Proficient in English in both spoken and written forms; independent spoken skills in other EU languages, particularly German, French, Spanish or Italian, would be an asset
- Very good knowledge of Microsoft tools: Word, Excel, Powerpoint, Access;
- Strong ability to establish priorities, work with stringent timelines and multi-task;
- Excellent communication and organization skills;
- Professional with the ability to work under minimal supervision with high level of resilience;
- Team player with strong inter-personal skills.
Remuneration:
Remuneration is commensurate with qualification and years of experience.
Duration of Contract:
The successful candidate will be based at the PRACE AISBL office located at Rue du Trone 98-1050 Brussels on a full-time basis, for an initial period of one year, renewed based on performance for another two years. The working language is English. This is a locally recruited position; no relocation expenses or allowances apply.
