General Information
The Communications and Public Affairs Division (CPAD) is responsible for providing information about the Commonwealth and the Secretariat to the general public, member governments and the world’s media. Its task is to stimulate interest in the Commonwealth’s work and values, using the full range of modern communication techniques. In addition to the Library and Archives, CPAD includes the Publicity and Public Relations Section; Press and Media Relations Section; Website Management Section; and the Publications Section.
The Library exists primarily to service Secretariat programmes by providing information for staff working on a wide range of topics, from economic development through to education, health, gender and political affairs. It contains a range of materials, including books, serials, periodicals, ‘grey’ literature and government reports and is developing its online services. Its special collections include the archives of the Secretariat and an extensive collection of the Secretariat’s own publications. Members of the public are welcome to use the Library, especially for materials which they cannot easily locate elsewhere.
The Library & Archives has a staff of four: the Head of Library and Archives, the Archivist and Records Management Officer, a Documentation Officer and a Library and Press Assistant.
Job summary
The temporary Cataloguer is primarily responsible for the cataloguing and classification of backlog of library and Secretariat material.
Duties
- Reviewing the backlog and assessing which material should be catalogued or weeded.
- Sequencing the material for easy access before cataloguing
- Classifying the material using the existing classification and the UNBIS Thesaurus.
- Recalling Secretariat material from the offsite storage to catalogue, classify and review.
- Review existing cataloguing to establish consistent entries, and key words.
- Shelving, bar-coding, boxing and organising existing stock and Archives.
- Binding the Secretary Generals Speeches.
- Cataloguing e-material.
- Working with the Archivist regarding confidential material.
- Liaise with the divisions to establish procedures for consistent deposit of Secretariat material into the library and Archive.
- Using two different database management systems Genie and Winisis.
- Undertakes other tasks requested from time to time by the Head of Library and Archives.
Person specification
Education:
A recognised professional qualification in library/information studies.
Desirable: Knowledge of the modern Commonwealth and development issues.
Ideally a degree in any subject relevant to the Commonwealth Secretariat’s work.
Experience:
Minimum of 12 months post-qualification library experience, including work with both cataloguing/classification.
