JOB TITLE: 1. PERSONAL ASSISTANT
LOCATION: DAR ES SALAAM GYMKHANA CLUB
REPORTING TO: GENERAL MANAGER
Key Responsibilities:
1. Undertake all secretarial work such as typing, filling, scanning, sending emails, photocopying and record keeping as required to fulfill the above purpose
2. Coordinate the day to day office management activities of the General Manager’s office.
3. Support the logistical arrangement and planning of the Club motor vehicle movements
4. Responsible for the provision of assistance to any member of the Management Committee in connection with matters relating to the Club.
5. Allocation of such work as deemed necessary to other Secretarial staff, Receptionists and the Driver and to ensure the efficiency and accuracy of such work
6. Responsible for the control of and the ordering of replacement stationary, other office equipment.
7. Liaise with and assist with the enquiries of present and prospective Club members and pass on all such messages as received.
8. Act as minute secretary for meetings of the Heads of Department, and for any other meetings deemed necessary by the General manager
9. Responsible to the General Manager for keeping records of membership proposals, applications and other documents.
10. Arrange appointments and receive high-ranking visitors, place and screen telephone calls and answer queries with discretion.
11. Draft non- substantive correspondence and ensure follow-up
12. Type correspondence, documents and reports, etc, some of which are highly confidential. Maintain policy, confidential and general management files.
13. Keep lists of names, addresses and telephone numbers of members, ministers, government officials and members of the diplomatic corps.
14. Responsible for the keeping of the daily, monthly, and yearly calendar of events.
15. Assist the other Heads of Department as necessary in the execution of their duties.
16. Coordinate with the Human Resources Officer, Finance & Administration staff ensuring the provision of excellent service to all members.
17. Liaise with Head of security from time to time to ensure that all Visitors are screened and issued with Visitors pass.
18. Ensure that information on all the Notice Boards is up to date, this includes Golf Notice Board, Changing rooms Notice Boards, Cricket , Squash, Tennis, Drop shot, Football, Reception and Restaurant
QUALIFICATIONS;
Applicants must have the following qualifications;
• Degree in public administration, sociology or any other field relating to the post advertised.
• Must have administrative and computer skills capabilities
• Must have good communication skills(oral and written) and interpersonal skills(with peers and supervisors)
• Must have Two years of working experience in this position
2. JOB TITLE: CHEF
REPORTING TO: FOOD & BEVERAGE SUPERVIRSOR
Key Responsibilities:
I. Plans menus for all food outlets in the Club
II. Schedules and coordinates the work of cooks and other kitchen employees to assure that food preparation is economical and technically correct and within budgeted cost.
III. Prepare the requisition of food products and other necessary food supplies.
IV. Establishes controls to minimize food and supply waste and theft.
V. Consults with the head of food and beverage manager about food production aspects of special events being planned.
VI. Cooks or directly supervises the cooking of items that require skillful preparation
VII. Support safe work habits and a safe working environment at all times.
VIII. To ensure the cooking and serving of all meals for members and invited guest- To ensure the correct issuing of quantities and quality of food product for meals on a daily basis
ix. To ensure the security of stock taken once issued from the main store.
x. To carry out any other reasonable duties as deemed fit by the management.
QUALIFICATIONS:
Applicant must have the following qualifications;
• Diploma in Hotel Management
• Good communication skills (oral and written)
• Four years related experience and / or training ;or equivalent combination of education and experience

REPORTING TO: HUMAN RESOURCE MANAGER
Key Responsibilities:
-Should design and implement various security policies and procedures.
- Collect, analyze and submit the report to the Management.
-Monitor and authorize entrance and departure of employees, members, visitors and other persons.
- Write reports of daily activities and irregularities, such as equipment, or property damage, theft, presence of unauthorized persons or unusual occurrences.
- Circulate among visitors, members and employees to preserve order and protect property.
- Call police or fire departments in cases of emergency, such as fire, or presence of unauthorized persons.
- Operating detecting devices to screen employees, visitors and members cars to prevent passage of prohibited objects.
QUALIFICATION& EXPERIENCES
• Retired Officer from Police or Defense
• Managerial and Supervisory skills to manage the security team and coordinate the work activities of security guards.
• He should be strong in analytical and communication skills.
• Should be conversant with both English and Kiswahili languages.
