HEALTH PROMOTION AND SYSTEM STRENGTHENING PROJECT (HPSS)

Position: ADMINISTRATIVE SECRETARY CUM CASHIER
Reporting to: Accountant
Location: Dodoma
Level of Engagement: Full-time
Duration of engagement June 2015 - Jan 2019
Ideal Candidate should possess the following qualifications and qualities
• Hold an Advanced Diploma or Degree in Accounting / Business Administration from recognized University/College.
• Should have good command of English and Kiswahili.
• Have excellent communication skills with the ability to work in a very busy environment.
• Be Trustworthy.
• Have an ability to perform multiple tasks
• Be a team player
• Have working experience of at least two (2) years in related field and position.
• Experience of working• in ,a Project in similar capacity is an added advantage
Key Responsibilities
Secretarial duties:
• Attend to all visitors at the front office.
• Keep track of all incoming and outgoing mails.
• Manage physical cash and material resources for
• HPSS project honestly and correctly
• Maintenance of projects files
• Typing of official letters
As a Cashier
• Keep cash box securely according to the set rules
• Keep all documentation required to validate all cash transactions - receipts and payments, with proper authorizations securely and in an orderly manner
• Make all cash payments as instructed with proper authorizations and against payee signature, according to relevant SOPs
• Collect/receive cash, issue required receipts to payer
• Deposit collected cash as required to the Project
Bank Account
• Collect cash as needed and requested from Bank
• Maintain cash book, cash ledger and electronic cash accounts as required and instructed
• Submit cash receipts and payment report with all required documentation to accountant for approval and booking in main accounts
• Perform daily cash check and submit cash verification report for approval to accountant
• Verify cash balance and supporting documentation on demand from TL, OM, RM, and any other officer given the task of conducting surprise cash checks
• Dispatching cheques to suppliers
• Receiving and filling incoming letters
Receiving outside calls
• Keeping office files
• Typing letters and other office documents
