Description:
BASIC FUNCTION: Responsible for the planning and execution of assigned events with minimal direction from Director of Events. Acts as the lead staff liaison with the members involved in these events.

SPECIFIC RESPONSIBILITIES:

  1. Coordination and execution of all arrangements and event oversight for assigned CEO events including social events, off-site activities, transportation, hotel arrangements, charter contracts event budgets and registration. Assisting other CEO Event Managers with other CEO events primarily in the areas of off-site activities, “dine arounds” and transportation.
  2. Coordination and execution of logistical and program arrangements for high profile, complex events (those involving multiple locations, venues, charters, etc.).
  3. Researching vendors, suppliers, ground operators, etc. plus making recommendations on program staffing (not specific personnel assignments).
  4. Communication with CEO event chairs and committee members as well as coordinating internal communications between these members for assigned events. Includes the content for all external communications including promotion pieces, registration forms, event webpages, e-newsletters, profile books, etc.
  5. Negotiations with hotels, airlines, ground operators and tour operators.
  6. Providing committee members and Director of Events with input and assistance in the preparation of creative and innovative ideas for social events and off-site events to create a premier event experience
  7. Preparation of documentation for assigned events including function sheets, specification documents, conference reports, agendas, budgets, etc.
  8. Maintenance of event files and site selection files.
  9. Performance of other duties as determined by the Director of Events.
  10. Serves as back up to the Director of Events.

Qualification:
  • Enthusiastic, motivated, and collaborative work style
  • Proficiency in Microsoft environment, especially Excel®, PowerPoint® and Outlook®
  • Strong organization skills and attention to detail
  • Excellent personal, verbal communication, and customer service skills
  • Certified Meeting Professional preferred
