SENIOR PROGRAMME ADMINISTRATOR

Salary Range: £22,000 to £27,000 per annum (full-time)

The Aga Khan University’s Institute for the Study of Muslim Civilisations in London (AKU-ISMC) is looking for a Senior Administrator for its Professional Programmes Unit. The position reports to the Lead Faculty for the Unit. It is an important role as the person will be responsible for day-to-day running of the unit with academic input from the Lead Faculty.

AKU-ISMC currently runs short courses that focus on historical and contemporary aspects of Muslim civilisations and cultures, including areas such as law, gender, art and literature. In addition, the unit runs CPD accredited courses in areas such as Muslim law, mediation and arbitration which are geared specifically for professionals in the legal sector.

RESPONSIBILITIES

The following are the main responsibilities of the position. It is not an exhaustive list but is intended to outline the areas of work the incumbent will be expected to undertake.

Administration of Professional Programmes

• Plan and organise the timetable for all short courses in collaboration with the Lead Faculty
• Develop budgets and submit relevant financial reports, in collaboration with the Lead Faculty
• Coordinate the logistics for each course, including catering, room bookings, etc
• Review the profitability of each course and provide annual summaries
• Respond to enquiries from potential participants
• Coordinate course evaluations, ensuring appropriate follow-up
• Support all aspects of marketing for the Unit, including marketing material development and distribution
• Maintain the Unit’s website content
• Any other duties, as required, to support the administration of short courses

Administration for Institutional Partnerships

• Provide administrative support for visits by representatives from partner institutions
• Take notes at meetings with partner institutions, as required
• Support and follow-up on matters related to institutional partnerships, as directed by the Lead Faculty
• Undertake general administrative tasks including photocoping, filing and record keeping

REQUIREMENTS

• Undergraduate degree (minimum)
• Experience of organising and managing events and programmes in an academic environment (college or university preferred) is essential
• Excellent administrative skills including the ability to work under pressure whilst maintaining a high quality output
• Excellent MS Office skills (Word, Excel, PowerPoint), Outlook, internet and databases
• Excellent organisational and planning skills with the ability to identify, pre-empt and review potential issues with regards to the organisation, management and delivery of educational programmes
• A self-starter with the ability to identify potential areas for growth in the development of programmes
• Excellent English language skills, written and oral, with the ability to write formal letters and produce concise and well presented reports
• Ability to use initiative and organise workload by focusing on best practices in all aspects of this role
• Excellent communication and interpersonal skills with the ability to communicate with a wide range of individuals from different cultures
