General Description
Provide essential administrative assistance and clinic coordination for the officials’ education program and staff. The success of US Lacrosse’s training and certification of officials is directly related to the work contributed by this position.

Specific Duties and Responsibilities:
• Provides administrative support for the education and training department with a focus on officials including data entry, record keeping, and overall program organization.
• Serves as initial contact for inquiries about officials education and training (phone, and email)
o Responds to and manages the general officials’ inbox and other inboxes as requested.
• Coordinates in-person meetings pertaining to officials’ training committees and working groups
• Coordinates all national officiating clinics in conjunction with officials’ education staff, training committees and volunteer coordinators.
• Assists with projects and data-entry related to certification and credentialing officials
• Acts as the primary liaison to the hosts, clinicians and committee volunteers for all officials’ education program training events including and regular check-in and follow-up.
• Collaborates with related staff and departments, including special events and game administration departments, to incorporate training events into cross-departmental events and initiatives; responsible for regular communication with events and sponsorship groups.
• Ensures hosts are educated about clinic procedures and follow event protocols, develops and provides standard appearance guidelines for each site.
• Ensures that clinics comply with sponsorship agreements and deliverables. Coordinates sponsorship items related directly to clinics. Ensures clinicians have all related branding and gear necessary for training.
• Records, compiles and monitors clinic hosting inquiries, applications and potential dates; develops and posts all training event schedules according to stated timelines.
• Creates and manages online and in-person registration for each clinic.
• Responsible for the shipping of all clinic/training material to site in a timely and financially responsible manner; maintains and tracks inventory sent and returned for clinics, monitors supply levels.
• Collects, tracks and inputs data for the OT clinics into the US Lacrosse database system, analyses metrics for each season and year.
o Maintains and updates all training event informationand budget according to standard operating procedures; this includestracking of sites, clinicians, attendees, and evaluations
o Compiles and tracks clinic evaluations; follows up with site coordinators post-clinics
o Enters clinic and credential information into the database
• Manages clinic budgets with officials education managers
o Processes all travel and expense reports related to training events
• Plans clinicians travel arrangements; processes and records expense reports and invoices
• Build relationships with clinicians, clinicians and key volunteers to ensure a positive clinician/volunteer experience.
• Communicates with public relations and communications department to promote clinics and USL’s officiating efforts, updates website regularly.
o Coordinates work orders, list requests, and promotional communications about clinics
o Develops and updates marketing pieces for training events
o Maintains file of training, quotes, pictures and marketing materials
• Travels to clinics where appropriate as US Lacrosse staff representative.
• Develops and annually updates all clinic policies, standard operating procedures, handbooks, documentation and other related information as necessary. Evaluates program and makes recommendations for improvement.
o Updates clinic applications and processes annually.
• Assists with the creation of marketing goals and execution of marketingprojects for US Lacrosse’s education and training programs as related to live events.
• Where appropriate, assists other education and training staff as requested
• Other duties as assigned

Required Skills, Education and Experience:
• College degree preferred, or equivalent experience
• Experience officiating lacrosse a plus
• Attention to detail and ability to prioritize, organize work
• Excellent written, oral and interpersonal skills
• Outstanding computer skills; familiarity with Microsoft Office suite. Database experience recommended.
• Self-starter, independent worker in a fast-paced team environment
• Available for frequent travel; some nights and weekend hours required.
• Knowledge of lacrosse/experience playing or coaching is beneficial
