Job Description
Background
The Identity and Passport Service (IPS) is an Executive Agency of the Home Office and was established on 1 April 2006. Building on the strong foundations of the UK Passport Service, IPS is a customer focused organisation providing passports for British citizens and passport verification services. IPS employs around 3,000 people in a network of offices, across the UK.
The General Register Office (GRO) became part of IPS on 1 April 2008. GRO oversees the system of civil registration, including births, stillbirths, adoptions, civil partnerships, marriages and deaths, in England and Wales. It does this in partnership with a range of government departments and the 174 local authorities who provide the service directly to their local community.

The Directorate is responsible for the day to day management, assurance and development of the Passport and Registration Operations throughout the UK and in the future, Overseas Passports operations.
Primary Purpose
To maintain the integrity of the UK passport by examining applications, confirming identity and establishing the nationality of the applicant and to approve for issue those that meet legislative and policy requirements
Key Responsibilities
• To examine passport applications to determine nationality and identity, in line with current policy, procedures and legislation, resolving queries as they arise.
• To provide effective and timely customer care to internal and external customers in line with current guidance and best practice
• To apply correct knowledge of current policy, procedures, security guidelines and legislation when examining passport applications to correctly determine nationality and identity, resolving queries as they arise.
• To develop and maintain knowledge of legislation, policy and procedure so as to complete all work in accordance with IPS Policy, Procedure and Best Practice guidelines.
• To demonstrate IPS valued behaviours in all areas of work.
Note: An employee may be required to carry out other duties within the scope of the grade and within the limits of their skill, competence and training.
Selection Criteria
Minimum Requirements:
Essential Criteria
1. A minimum of 5 GCSE passes at grades A-C, equivalent qualifications or relevant work experience in an administrative role.
2. Proven track record as an effective team player.
3. Proven experience in providing high levels of customer service.
4. Proven ability to make decisions within set rules or parameters.
5. Good organisational skills and an ability to work under pressure.
Desirable Criteria
1. Experience of working with Microsoft packages.

DAY SHIFT - 37 hours per week (Flexible Working)
EVENING SHIFT - 18.00- 22.00 Monday to Friday (Part Year Appointment January to August)
EXTENDED WORKING HOURS – ROTA BASIS WITH 2 SATURDAYS A MONTH
• The day shift and extended working hours vacancies are full time posts, however applications from part time staff are welcome only on the condition that viable job sharing arrangements are available.
• Please note that is it the policy of IPS that staff cannot work for another government department at the same time as IPS
• The successful candidate must pass security clearance and would only be offered the position on the condition that they subsequently pass the clearance process.
