Functions:

Under the general supervision of the Co-ordinator of the General Services Unit, the incumbent performs the following duties:

(1) Communications tasks:

  • Takes all telephone calls for the Court and the Registry from 9 a.m. to 7 p.m. (working in shifts): screens and directs telephone enquiries from governments, international organizations, United Nations missions and all calls from the general public; responds to routine inquiries and information requests, or routes to appropriate personnel for handling as required.
  • Takes messages for Members of the Court in absence of their Secretary as well as for Registry Officials.
  • Takes messages to and from Secretaries of Members of the Court.
  • Establishes telephone contacts for Members of the Court and Registry staff members.

(2) Administrative tasks:

  • Records in coming and out going mail for the New Wing; reviews, records, routes and/or processes mail or other documents; gathers pertinent background material; tracks and monitors follow up action as required.
  • Answers electronic correspondence, maintains files (both paper and electronic) and databases for the General Services Unit; updates and maintains large distribution lists; assembles documents, reports and other materials for global dissemination and in accordance with the Court’s standards, using electronic format; prepares tables, charts, graphs etc.; performs basic data entry and extraction functions; checks accuracy of simple calculations, coding, data, etc.; delivers urgent mail/messages.
  • Assists with writing invitations cards for the Members of the Court and the Registrar (reception at the end of Public Hearings, reception for staff members at Christmas, etc.).
  • Maintains calendar/schedules; monitors changes and communicates relevant information to appropriate staff inside and outside the immediate work unit.
  • Is ready to undertake other administrative tasks in order to provide general office support services, such as updating the telephone directory and recording changes of addresses; performs a variety of administrative duties including preparing and/or processing administrative requests/documents, and photocopying a variety of documents and other materials.

(3) Other duties:

  • Receives visitors and escorts them to Members of the Court.
  • Assists in the distribution of documents in consultation with the drivers/messengers.
  • Co-ordinates courier services.
  • Sorts out newspapers for Members of the Court (7 or 8 different newspapers a day).
  • Ensures surveillance of shortlisted candidates during recruitment processes.
  • Operates and maintains a variety of office equipment in the performance of basic functions, such as photocopier, facsimile, printer, scanner, etc.
  • Assists in providing coffee service.
  • Performs other duties as assigned.

Qualifications and requirements:

Education:

  • High school diploma or equivalent.

Experience:

  • Experience in general office and administrative support or related area.

Skills/competencies:

  • Communication: speaks and writes clearly and effectively, listens to others, correctly interprets messages from others and responds appropriately; motivated by professional rather than personal concerns, the incumbent remains calm in stressful situations.
  • Client orientation: mainly seeking to improve services to Members of the Court and Registry staff, the incumbent identifies needs, suggests relevant solutions, anticipates problems and meets timeline for delivery of services.
  • Technological awareness: keeps abreast of available technology; actively seeks to apply technology to appropriate tasks and shows willingness to learn new technology.

Languages:

  • Fluency in English and French is required, the two official and working languages of the Court, as well as in Dutch. Knowledge of other official languages of the United Nations would be an asset.
