Job Title: Administrative Assistant
Scale: CU8
Reports to: Coordinator of Admissions & Student Records
Division: Academic Affairs
Duty Station: Mukono

Purpose of the Job
Responsible for the office work flow, appointments and correspondences.

Qualifications and experience

  1. A bachelor’s degree in Secretarial Studies (Second class Upper and above)
  2. At least three (3) years working experience
  3. Good computer proficiency
  4. Committed Christian
  5. Should not be above 32 years old

Additional Competencies

  1. Excellent interpersonal and communication skills
  2. Ability to work under pressure and to meet strict deadlines
  3. Ability to work independently on own initiative.

Main duties and Responsibilities

  1. Ensures proper flow of information between the office and other departments
  2. Coordinates office activities and committee meetings.
  3. Types minutes from meetings, routine correspondences and reports.
  4. Provides other secretarial services.
  5. Schedules appointments and meeting rooms.
  6. Schedules travels for office and visitors.
  7. Maintains proper records of incoming and outgoing mail.
  8. Receives and directs visitors.
  9. Answers telephone calls and relays messages.
  10. Responsible for the office management, cleanliness and maintenance.
  11. Responsible for the security of office equipment.
  12. Performs any other duties as assigned by the supervisor.

Working Conditions:
Usual office conditions, occasional evening and weekend work needed.
