Program Assistant, Bangladesh Global Alliance for Improved Nutrition

The Global Alliance for Improved Nutrition (GAIN) is driven by the vision of a world without malnutrition. GAIN is a Swiss based foundation that mobilizes public-private partnerships and provides financial and technical support to deliver nutritious foods to those people most at risk of malnutrition. The organization is delivering improved nutrition to an estimated 273 million people in more than 25 countries, half of whom are women and children.

GAIN is looking for a Program Assistant to provide operational support and administrative/support services to its growing team in Bangladesh
Responsibilities:

Agenda Management and Meeting Coordination

• Manages the daily agenda and schedule of key team members.
• Responsible for the timesheet records and monthly leave reports.
• Drafts meeting agendas and prepares summary notes
• Manages logistics for key meetings and calls; plans, organizes and coordinates the meeting and calls, arranges all related communications and where necessary takes meeting minutes.
• Assistance in scheduling and planning for events, such as on-site and off-site meetings, conferences, and presentations, which may include coordinating arrangements for participants, handling logistics, preparing and disseminating materials

Travel-Related Tasks

• Coordinates domestic and international travel arrangements for the team
• Prepares documents/briefings for travel
• Prepares and processes travel expense claims as per GAIN policies and procedures.
• Makes recommendations and decisions regarding travel and meeting facilities and arrangements.

Correspondence and Document Drafting

• Drafts correspondence including reports, contracts, and other administrative documents.
• Prepares presentations, graphics and charts
• Participates in the preparation and formatting and coordination of donor reports and proposals
• Assumes responsibility for document filing and develops new office administrative procedures as required.
• Assumes responsibility for the preparation or the required documentation for key meetings; and assures that these are prepared and delivered in a professional and timely manner.

Contract-Related Tasks

• Support in the preparation of related contract documents for external GAIN consultants, grant agreements and other designated contractual documents as required - ensuring they are routed through GAIN’s standard contracting processes.
• Prepare and format standard contracts and related documents, in strict compliance with the standard contracting process and templates, and assist in the preparation of complex contracts.
• Assist in the process of identifying and selecting service contractors.

Budget-Related Tasks

• Ensures the smooth flow of approval documents, ensuring information transfer to the relevant staff.
• Prepare accounts payable documents (e.g. invoices, payment requests) for approval
• Work with accounting to ensure all project related expenses are properly coded to ensure the accuracy of financial reporting.
• Assist the team in the development of documentation relating to budgets, cost analyses, reports and forecasting.

General Administrative Tasks

• Filing, copying, printing
• Assist in maintaining contacts database and SharePoint.
Ensure compliance with the GAIN administrative policies and procedures
