Program Assistant, Program Development

The Program Development Support team is responsible for providing strategic and tactical support to PATH’s global and country programs in the pursuit and acquisition of funding for new program opportunities from governments, private foundations, and multi-lateral organizations.The program assistant provides administrative support to the Program Development Support team located in Washington, DC and will report to a Program Development Officer.

Duties and Responsibilities

  • Coordinate and disseminate knowledge management activities for program development:
    • Track new funding opportunities and share across the organization in a timely manner.
    • Maintain key data systems and reports related to request for bids and proposals, pipeline and opportunity tracking, and business development metrics (including win rates).
    • Organize and update business development documents and templates using web-based information systems such as Salesforce.
    • Support the development of presentations, proposal preparation tools, job aids, and increase access and utilization of these tools via intranet, SharePoint, and other sources.
    • Monitor donor related news items, sharing relevant information with staff.
  • Provide administrative support including but not limited to:
    • Maintain records and repositories, including paper and electronic files.
    • Manage scheduling and planning of meetings, including compiling and organizing relevant background materials, preparing minutes, and monitoring follow-up activities.
    • Coordinate travel arrangements for team members and guests; track team members' travel schedules.
    • Provide support for check requests, wire transfers, consultant requisitions.
    • Serve as the team’s primary point person and proofreader.
  • Research potential partners and technical information for proposal development and capture purposes.
  • Collect business intelligence from the global health community, colleagues, and peers.
  • Support the development of proposal annexes including resumes, letters of commitment, letters of support, capability statements, past performance references, and organizational charts.
  • Provide support for proposal production and submission process; collecting completed components of a proposal and assembling these documents into packages that are ready to be submitted to the donor.
  • Participate in book check/quality assurance of compiled documents.
  • Attend external meetings as a representative of PATH and write up notes to share with relevant stakeholders.

Required Experience

Skills and Experience

  • Bachelor’s degree and minimum of one year work experience in an office setting required.
  • Excellent proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Access) required; SharePoint, SalesForce and Adobe Illustrator experience a plus.
  • Excellent interpersonal and organizational skills with outstanding attention to detail.
  • Ability to communicate effectively both orally and in writing.
  • Excellent proofreading and editing skills.
  • Prior experience developing and managing web-based databases, e-mail programs and tracking statistics preferred.
  • Demonstrated success managing multiple activities, deadlines, and priorities.
  • Ability to work in a team environment with minimum supervision.
  • Ability to conduct basic research and literature reviews.
  • Strong interpersonal and organizational skills, flexible.
  • Demonstrated ability to work effectively in a multisite organization and in a team-based structure.
  • Knowledge and interest global health issues.
  • French or Spanish skills a plus.
