Program Assistant: Asia, Environment, and New Media , Washington DC, USA

GENERAL FUNCTION

The Program Assistant provides administrative support for programs under the supervision of the PMU VP. The Program Assistant will be expected to perform administrative tasks.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

• Maintain and track schedules for senior PMU management, project development, and field reports;

• Prepare expense reports;

• Prepare presentation materials – including Powerpoint presentations;

• Assist with proposals as needed – including basic desk research and document formatting;

• Coordinate interns;

• Record meeting minutes;

• Maintain up-to-date briefing and PR materials for active programs;

• Coordinate travel logistics, assist with visa applications, and arrange accommodations for the Asia Unit and other Internews representatives;

• Provide basic desk research as assigned;

• Assist field teams with submitting payment requests.

QUALIFICATIONS:

Required

• 1-2 years administrative assistant experience;

• Experience with MS Excel, PowerPoint, and Word;

• Experience making travel arrangements;

• Proven organization skills, with attention to detail;

• Proven ability to multi-task and prioritize with a shifting workload.

Preferred

• Experience with financial management and familiarity with USAID rules and regulations

• Experience with event planning and/or arranging logistics for project implementation abroad

• Familiarity with a database such as Filemaker Pro and a remote document retrieval such as CuteFTP

• Experience preparing expense reports
