The role
The primary function of this role is to provide a high level executive support to the General Manager, Health and Safety and the wider department. You will display the following:
Effective diary management for General Manager
  • Email management and correspondence on behalf of the General Manager
  • Collation and preparation of data on behalf of the General Manager
  • Liaising with stakeholders and senior parties where required
  • Preparation of high level reports and presentations
  • Coordination of the budgeting process
  • The coordination of business functions and events
  • Maintenance of confidential documentation;
  • Domestic and international travel booking for the General Manager
  • Co-ordination of the Annual Planning / Budgeting process for the Health and Safety group
  • Cost awareness for the overall Health and Safety team
  • Leader to the Health and Safety Administration Assistant
  • Work with the broader Health and Safety administration team to implement improvement initiatives
  • Work alongside and support the Health and Safety Management team
  • Management of purchase orders on behalf of the General Manager
  • Assist with the recruitment and induction of new starters
  • Minute taking and preparation
  • Coordination of safety meetings and safety correspondence
  • General office duties shared with broader Administration team (ordering stationery, mail, catering, office management and HSE, meeting rooms, space allocation, etc).
To be successful in this role you will display the following:
  • A high degree of initiative in solving problems and completing tasks
  • High level of attention to detail
  • Ability to multi-task and maintain composure under pressure
  • Significant Secretarial / Personal Assistant experience
  • Diplomacy to provide a high level and friendly service whilst having the ability to deflect and 'push back' where required
  • Advanced skills across the Microsoft Office suite
  • Professional and accurate written and oral communication skills at all levels
  • The ability to confidently act as an interface between internal & external employees in the General Manager's absence
  • The ability to confidently build relationships at all levels of the business
