Proposal Assistant

Based in Washington, D.C., ACDI/VOCA is a nonprofit international development organization that delivers technical and management assistance in agribusiness, financial services, enterprise development, community development, and food security to promote broad-based economic growth and vibrant civil societies. ACDI/VOCA has approximately 70 projects in 35 countries and total revenues of approximately $173 million.
We are seeking a D.C-based Proposal Assistant to assist in the compilation of professional proposals and new business materials through effective document management and assembly. This position reports to the New Business Manager.
Responsibilities include:
• Work with technical groups and NBD staff to update, develop and maintain proposal records and resources in ACDI/VOCA's Customer Relationship Management and SharePoint databases
• Gather and track all final pieces of technical and cost volumes of proposals
• Format, print, and bind proposals, working with NBD colleagues and proposal managers to ensure that documents are printed on time, in correct order and are compliant with client formatting/shipping guidelines, annex instructions, and page limits
• Monitor and order proposal production supplies
• Complete documentation for proposals and proposal-related travel on behalf of ACDI/VOCA
• Support proposal teams in conducting research and writing/compiling corporate capability chapters and/or graphics as needed
• Compile, build, and maintain proposal templates and orchestrate use across technical groups
• Maintain electronic libraries of past proposals and other duties as assigned
• Support NBD staff in internal training preparation as needed
• Support NBD staff in final production phase to acquire signatures, translations, travel arrangements and other documentation as assigned
A bachelor’s degree in business administration, international development, or other related field, with some relevant internship or job experience required. Candidates must have a 3.5 GPA from their undergraduate degree program. Candidates must be able to work in a self-directed and fast-paced environment. Candidates must also have proven organizational skills and attention to detail, with the ability to undertake multiple tasks under tight deadlines. Experience with the international development industry and/or with USAID is a plus. Experience with Customer Relationship Management software is a plus.
