Program Administrative Assistant

Job Summary:

The German Marshall Fund of the United States (GMF) is a non-partisan American public policy and grantmaking institution dedicated to promoting better understanding and cooperation between North America and Europe on transatlantic and global issues.

The German Marshall Fund of the United States (GMF) seeks an energetic, detail-oriented full-time Program Administrative Assistant to work with the Executive Director of the GMF Brussels office on programming and schedule. In addition, the hire will also work on all Brussels related aspects of the Marshall Memorial Fellowship program (MMF), GMF’s premier Fellowship for emerging leaders from the United States and Europe.


Key Areas of Responsibility:

  • Manage journal and make all associated arrangements of the Executive Director’s schedule and assist with travel and accommodation arrangements;
  • Prepare and produce supporting material and documents for presentations and meetings as required;
  • Assist Executive Director with expenses reporting;
  • Database maintenance;
  • Organize the Marshall Memorial Fellowship program in Brussels;
  • Assist with the administration of the supranational selection process of Marshall Memorial Fellows;
  • Assist with the designing and implementing events and projects related to the MMF program (alumni conference; 30th anniversary of the MMF program, etc.); and
  • Other duties as assigned.

Qualifications and Requirements:

  • Recent graduate with an International Relations degree or similar.
  • Fluency in English required; fluency in one or more other European languages, particularly French and/or Dutch, is desired.
  • Knowledge of European and American cultures and customs as well as an ability to work in an intercultural team environment.
  • Have excellent communication and writing skills.
  • Be creative, entrepreneurial as well as organized and responsible.
  • Have excellent organizational skills and the ability to work well under pressure.
  • Be comfortable working independently and as part of a team.
  • Have experience in study tour planning and fellowship programming.
  • Possess a background/interest in foreign policy, diplomacy, transatlantic relations.
