Position Description:
Serves as a liaison between Chief Officer, reporting units and other business areas and external agencies for the purpose of relaying instructions and information and following commitments through to completion.
Manages and monitors a variety of information impacting the Chief Officer’s responsibilities and priorities in response to work flow of the Chief Officer.
Exercises delegated authority to speak on behalf of the Chief Officer regarding a variety of administrative matters.
  • Interprets and summarizes information based on program knowledge, organizational goals, and priorities.
  • Identifies and resolves problems that would not require Chief Officer’s direct involvement.
  • May attend meetings in Chief Officer’s absence to provide and/or obtain information.
  • Research, develop and draft letters, memos, or reports to for the Chief Officer’s review.
  • Edits documents to incorporate information and ideas specific to the Chief Officer and/or activities within the overall organizational unit or division.
  • Monitors and reconciles the Chief Officer’s operational budget or a component of the overall budget or program budget which includes tracking expenditures and making recommendations regarding the use and distribution of funds.
  • Screens calls and visitors to determine appropriate course of action.
  • Coordinates and directs the office support activities and facilitates workflow for the Chief Officer and subordinate units.
  • Makes travel arrangements. Plans and organizes conferences, retreats, and/or events.
  • Establishes and maintains files and records.
  • Handles confidential and sensitive information.
  • Demonstrates advance knowledge of programs, organizational structure, and Chief Officer’s scope of responsibilities.
  • Advanced knowledge of administrative and clerical procedures and systems such as word processing, managing files and records and other office procedures and terminology.
  • Excellent interpersonal skills and ability to handle situations with diplomacy and tact.
  • The ability to communicate information and ideas in writing so others will understand.
  • Analytical ability to handle complex administrative details.
  • Ability to coordinate large conferences and meeting for Chief Officer level attendees.
  • Ability to adapt quickly to changes/deadlines.
  • Prioritizes and manages multiple projects simultaneously, and follow through on issues in a timely manner.
  • Conducts research, compile data, and prepare papers for consideration and presentation by Chief Officer.
  • Arranges travel schedule and reservations for Chief Officer as needed.
  • Ability to relay instructions and information and follow commitments through to completion.
  • Identifies and resolves problems that would not require Chief Officer’s direct involvement.
  • Identifies and resolves problems in a timely manner and gathers and analyzes information skillfully.
  • Problems are addressed in accordance with priorities, policies, commitments, and program goals of the Chief Officer.
  • Ability to differentiate when a situation can be handled independently or if it needs to be escalated.
  • Researches and develops solutions for unusual and novel situations.
  • Ability to effectively handle responsibilities with limited supervision. No instruction needed on routine work and general instructions with periodic work review given on new work or special assignments.
  • May lead and provide guidance to other lower level personnel.
Minimum Requirements:
Requires an Associate degree (A.A.) or international equivalent or technical school or one or more year’s related experience in a like role and / or training.  5+ Years of related experience.  Financial/accounting experience in order to handle budgetary task.  Excellent oral and written communications skills.  Ability and willingness to quickly adjust plans, schedules and agendas to meet rapidly changing needs and priorities.  Must have advanced knowledge of Microsoft Office Suite of products (Excel, Word, PowerPoint, and Access).  Read, write and speak English; fluent in host country language required.
Graduate from a four-year college or university, preferably with major emphasis on Business Administration or a related field, preferred.  Non-Profit or health-related field experience preferred.
