User Research Administrator

The User Research Administration Office offers a career opportunity for a User Research Administrator to join them in supporting their mission to facilitate high-impact user science in a safe working environment.  The SSRL User Research Administrator reports to the User Research Administration Manager and serves as the primary point of contact for internal and external researchers from around the world who are interested in utilizing the material and chemical science experimental facilities at the Stanford Synchrotron Radiation Lightsource (SSRL), a world-renowned national user facility operated by Stanford University for the U.S. Department of Energy Office of Science. This position is best fit for a highly customer-service oriented and resourceful individual who can work independently to communicate the facility’s capabilities to attract top scientists and coordinate user access to support the best science, build goodwill and strengthen the reputation of the SSRL facility as international leader offering forefront experimental capabilities in targeted areas.
Specific Responsibilities (include but are not limited to):
  • Manage the scientific proposal peer review process for the SSRL material and chemical science experimental facilities;
  • Develop and maintain the user schedules for the SSRL X-ray and VUV beam lines and instruments to ensure maximum utilization and optimize the needs of the facility as well as of the scientists who need access;
  • Collect, compile, analyze and report on user and experiment statistics and demographics data; track trends and develop reports, charts, diagrams and presentation material for management and advisory panels;
  • Track, communicate and report on performance metrics such as user satisfaction and research accomplishments (scientific publications);
  • Analyze workflows and identify methods to improve, streamline and automate user research administration processes; work with programmers to plan and support ongoing development of user database, web interfaces, user portal, content management and reporting functionality; 
  • Serve as liaison for scientific users, their institutions and SSRL staff.
Qualifications:• BS/BA degree (preferably related to science/engineering, business or communications).
• Minimum 5 years of administrative management experience in an academic or scientific environment with strong communication, organization, analytical and computer skills.
• Excellent interpersonal skills and demonstrated experience in managing communications and relationships with diplomacy and political savvy.
• Demonstrated written communication skills to produce and edit letters, articles, reports and materials that are clear, concise, logical, and grammatically correct.
• Ability to create and negotiate schedules involving multiple overlapping and often conflicting criteria and resources.
• Ability to collect, compile and analyze user and experiment demographics data in order to identify and evaluate trends, develop reports, charts diagrams and presentation material.
• Proven organizational skills to initiate and prioritize responsibilities, carry out competing/time-sensitive projects under pressure, and deliver timely, well-organized products.
• Must be flexible, resourceful self-starter with good judgment, with ability to work both independently and as part of a team.
• Must be a quick-learner, committed to outstanding customer service, high attention to detail.
• Experience with developing and implementing policies and standard operating procedures (SOPs).
• Experience planning and organizing meetings and scientific conferences.
• Ability to analyze workflows, identify methods to automate and streamline processes, and work with programmers to manage the ongoing development of user facility portal.
• Knowledge and advanced skills with MS Office (Outlook, Word, Excel, PowerPoint) and web publishing (e.g. HTML and CSS, CMS, basic image editing in Photoshop).
Desired Skills:Science or technical report writing experience
