HR Administrator (EMEA)
 
Purpose of Position
 
The job holder will serve in an administrative support role to the EMEA HR Business Partner/HR Manager and assist in ensuring effective the daily maintenance and record keeping of HR activities.
 
The role will work with a variety of stakeholders and confidentiality, efficient administration and data management is critical for the role.
 
Primary responsibilities: 
 
Your primary responsibilities will revolve around the wide range of HR administrative duties and in particular you will be expected to:
  •  Maintain all HR and related administrative files and electronic records as required.
  •  Data maintenance and updating of the HR talent pool and information systems.
  •  Ensure that all time and attendance records are maintained and updated in the business unit.
  •  Liaising and assisting with the service termination functions.
  •  Produce management information reports as requested.
  •  Monitor and contribute to continuous improvement of HR related process and functionality.
  •  Communicating with employees on general HR related requests eg payslips, salary certificate, confirmation of employment etc
  •  Ensuring that all increases, adjustments, leave, bonus and commission provisions are accurately recorded.
  •  Ensuring proper filing of all payrolls records and maintains confidentiality of records.
  •  Ensuring that Management, Payroll and HR reports are provided on a monthly basis and as the need arise.
  •  Formulating reports as requested by the HR Manager.
  •  Ensure that developed HR policy is implemented and that all employees are kept informed on any new policies.
  •  Work closely with finance to ensure payroll is processed accurately and in a timely manner.
  •  Sent out various documents to employees and clients
  •  Inform employees when [performance review are due and ensuring adherence to the periods for this process. 
  •  Ensure the effective recording and updating of personnel data and records.
  •  Responsible for the employee orientation and induction program of all new employees.
  •  Updating and providing statistics on all employee discipline and related administration.
  •  Facilitate the administration of all employee queries and grievances in employment related matters.
  •  Monitor training for all employees and training feedback
  •  Co-ordinating internships and in service training programs with the assigned managers in the business.
  •  Ensuring effective records are kept of all training, scheduled training and training outcomes for individuals and groups.
  •  Any other duties assigned by the HR Manager or his/her delegate.

Reporting requirements
 
The role will report directly to the HR Manager (EMEA HR Business Partner) with the following reporting requirements:
  •  Attendance of all weekly and/or team meetings.
  •  Regular updates with your line manager
  •  Regular submission of assigned reports
  •  A monthly update on the status of your KPI's, as well as any other important areas of concern.
  •  Exception reports as and when required.
 
Relationships
  • The role will form part of the EMEA HR Business Partner
  • The role will be required to liaise closely with all employees IN THE emea team and at times with other stakeholders
 
Authority levels
  •  The role will be required to analyse and make recommendations to the EMEA HR Business Partner
  •  You will also be expected to contribute to ensure effective record keeping, administration and process within the EMEA team.

Minimum education and experience required
 
  •  Bachelor's degree in Human Resources or an administrative degree or any related discipline
  •  1-3 years of relevant experience

  • Ability to effectively interact with all levels of the organization
