Basic annual salary starting from 103’600 Swiss Frs. Role Summary The Special Assistant supports the Executive Director (ED) in carrying out his duties, particularly with regard to the effective planning and overall co-ordination of the ED’s external engagements, including travel and meeting support and follow up on decisions and action points. Extensive travel in peak periods of the year may be required.
Key Responsibilities • Planning the ED’s external engagements. This includes liaising with relevant internal teams and external partners, coordinating and/or developing content and ensuring prompt follow-up action

• Undertake analysis and research, collate technical/policy-related and other contextual information to respond to external enquiries to the OED, prepare relevant briefings and prepare for external engagements as required

• Draft and/or ensure the timely delivery of talking points, presentations/speeches and briefing notes, and other materials required for the ED’s various external engagements, or co-ordinate drafting/editing where several parties are contributing

• Co-ordinate the preparation of the ED’s trip itineraries, including making available to assistants the information necessary to execute the logistical aspects of travel preparation

• Provide on-the-road support to the ED as requested, including taking minutes and notes at meetings and preparation of follow-up memoranda/reports, letters and notes for the record

• Keep the ED, as well as the OED, briefed and informed on progress across issues and areas of actions, summarizing key documents and data relevant to decision making

• Assist the OED in responding to day-to-day requests, particularly if a rapid response is required, serving as an initial point of contact for such requests and taking action as directed

• Other relevant duties as required

PERSON SPECIFICATION

Qualifications

Essential:

Advanced university degree in business/public administration, social sciences or a related field or equivalent professional training or study/work experience.
Experience Essential:

Three to six years’ experience in project management, preferably with development experience.

Languages:

Excellent knowledge of English. Fluency in French is highly desirable and knowledge of other languages would be considered advantageous.
