POSITION TITLE: Office Manager

Role:

Based at the Crisis Group office in Johannesburg, the Office Manager ensures day-to-day operation of a Crisis Group field office, providing accounting, administrative, and light I.T. support and logistics assistance. The Office Manager is largely responsible for orderly and timely flow of information into and out of the office, coordination of activities within the office to ensure smooth running of the organisation.

Responsibilities:

Ensuring that Crisis Group’s financial records are kept up to date, submitting these records to headquarters, maintaining an accurate record of financial transactions, and undertaking of banking duties as necessary; Receiving invoices, arranging approval from Project Director and preparing invoices due for payment; Maintaining of equipment at the Crisis Group’s field office, including computers, printer, fax etc.; Distributing Crisis Group reports in field office, including the maintenance of a computerized distribution list; Checking that all Crisis Group reports are available at all times (and keeps proper records for backups); Overseeing the functioning of the office, ensuring the office is kept clean and orderly; Providing assistance in the organisation of meetings and special events; Assisting Crisis Group staff members with all administrative issues; Covering front desk duties as necessary; Providing travel, accommodation and other administrative assistance to Crisis Group personnel and board members visiting a field office. Responsible for liaising with Crisis Group offices in Brussels and Nairobi.

Requirements:

A degree in administration or accounting; Minimum two to three years experience as an office manager or other related administrative function; Fluency in spoken and written English; Experience maintaining financial records; Computer literacy, including good working knowledge of Word and Excel; and, Attention to detail and organizational skills
