Objectives
The African Development Bank Field Office (AOFO) based in Luanda, Angola has been established to strengthen cooperation between the Bank and Republic of Angola. AOFO invites applications from suitably qualified Angolans to fill the following vacant positions. These positions are local and posting will be in Luanda, Angola and ONLY CVs of nationals and candidates with work permit would be considered.
Duties and responsibilities
Under the direction of the Resident Representative, the incumbent will be responsible for the following:
- Providing general Secretarial assistance to the Office, Field Staff and visiting Missions
- Independently respond to diverse inquiries and make decisions when multiple courses of actions are possible;
- Coordinate and monitor multiple and diverse work processes and activities to ensure that management decisions are properly carried out and products are delivered in a timely manner;
- Ensure quality of documents requiring the RR and Field Staff’s approval and/or signature;
- Draft/finalize correspondence on a range of topics on behalf of the Resident Representative and prepare minutes of meetings;
- Be accountable for the smooth operation of the office work, support work and related systems within the Country Office by organizing and coordinating workflow.
- Transmit and follow up the processing of requests for tax exemptions, long stay visas, diplomatic and international organization cards and registration of the Bank’s vehicles and staff members;
- Transmit and follow up the processing of diplomatic missions and consulates accredited to Angola for visa applications and all other Bank official documents; conduct airport arrival and departure formalities for Executive Directors and Governors, and all other personalities invited by AOFO;
- Contribute to the organization of AOFO events and ceremonies;
- Provide protocol services to AOFO;
- Perform any other duties reasonably requested by the Resident Representative and Field Office Staff
Selection Criteria
Including desirable skills, knowledge and experience
(Incumbents of the post will be considered as local staff and will therefore not have international status)
- “A” Level with professional secretarial qualifications; minimum five years of experience in the relevant area;
- Thorough knowledge and use of all relevant computer software, especially MS Office 2007, and the ability to help organize data and information retrieval systems;
- Good interpersonal and verbal communication skills;
- Proven ability to work in effectively in a team-oriented, multi-cultural environment and to function effectively as a member of various groups;
