                              p.a. (Starting salary) (Position Grade: FP-8)

The U.S. Embassy in Brasilia is seeking an individual for the position of Administrative Clerk in the Management Section.
Basic Function of Position
The incumbent provides secretarial and administrative support to the Management Officer and Management Section in order to ensure that services are provided in an effective manner and clients receive the highest level of customer service.

Qualifications required

All applicants must address each selection criterion detailed below with specific and comprehensive information supporting each item.
Education: Completion of secondary (high) school is required.
Experience: progressively responsible administrative work such as secretary or quality customer service relations experience is required. 
Language: Level IV (Fluent) in speaking, reading and writing Portuguese and Level III (Good working knowledge) in speaking, reading and writing English is required.
Language proficiency will be tested.
Knowledge:
  • Office management, administration procedures and basic office protocol;
  • Customer service techniques.
Skills and Abilities:
  • yping ability level II (30-59wpm);
  • Microsoft Office Suite, Microsoft Outlook, Internet and software applications of common use;
  • Must be able to deal with senior officials and high-level professionals;
  • Skills in the preparation of general correspondence; 
  •  Deal with high level government officials as well as individuals outside the government, and individuals from foreign countries representing both government and private industry organizations;
  • Comprehend, analyze, and interpret written and oral communications;
  • Organize work and set priorities for a busy office;
  • Handle a variety of administrative functions including setting up and maintaining office files and other record systems and monitoring and assuring completion of action assignments;
  • Work under tight deadlines.
Testing may be conducted to determine qualifications.
Selection process
When fully qualified, U. S. Citizen Eligible Family Members (USEFMs) and U.S. Veterans are given preference. Therefore, it is essential that the candidate specifically address the required qualifications above in the application.
Additional selection criteria
  1. Management will consider nepotism/conflict of interest, budget, continuity and residency status in determining successful candidacy.
  2. Current employees serving a probationary period are not eligible to apply.
  3. Current Ordinarily Resident employees with an Overall Summary Rating of Needs Improvement or Unsatisfactory on their most recent Employee Performance Report are not eligible to apply. Please submit your most recent Employee Performance Report (EPR).
  4. Currently employed US Citizen EFMs who hold a Family Member Appointment (FMA) are ineligible to apply for advertised positions within the first 90 calendar days of their employment.
  5. Currently employed NORs hired under a Personal Services Agreement (PSA) are ineligible to apply for advertised positions within the first 90 calendar days of their employment unless currently hired into a position with a When Actually Employed (WAE) work schedule.
