Free The Children seeks an organizedand detailed HR Administration Manager to oversee HR administration. This role will ensure that benefits, payroll, staff HRIS and workforce data serves informational management processes streamline operations for scaling our employee data and services. The prospective candidate must possess proven HR administration experience demonstrating resourcefulness and creativity, ability to multitask with a keen sense of sourcing and identify gaps and organize information under a deadline.
There is a six (6) month probationary period, upon reaching the three (3) month period, all staff members are offered a health plan including dental and Employee Assistance Program. The position is based out of Free The Children's International office in Toronto (233 Carlton Street). This role is perfect for a detailed orientated person who wants to understand the data behind a workforce and ensure quality staff services through the HR department who is looking to develop management within HR administration within the not for profit sector and innovative social enterprise. Responsibilities
HRIS system implementation and workforce data -30%
  • Responsible for managing staff information through HRIS for 350 staff using VANA- a salesforce HRIS platform launching January 2014
  • Responsible for the delivery of HR, payroll, health benefits and employment contracts in support of business operations in Toronto, across Canada, US and UK
  • Manages the development and implementation of local policies and procedures with regard to HR at headquarters and regional offices across Canada, US and UK
  • Analyzes trends and metrics to develop solutions, programs and policies in compliance with applicable employment standards.
  • Develops contract/employment terms for new hires, promotions, transfers and contracted resources
  • Maintains integrity of HR data for region through HRIS and employee records in accordance with legal requirements and best practices.
  • Provides guidance and input on business unit restructures, workforce planning, succession planning.
  • Administers all aspects of the Human Resources Information System: Oversees the import and export of data, enters and updates the database with new hires, terminations, employee changes, status changes and information on an ongoing basis.
  • Designs and maintains reports and metrics to support the decision-making processes for HR and business programs (eg: benchmark reports, headcount, turnover, etc).
  • Performs analysis to provide trends and recommendations and ensures accuracy of data.
  • Responsible for maintaining up to date job titles in the HRIS system, revises job title structure when needed
  • Maintains all of the employee files
Benefits and Payroll Administration -30%
  • Responsible for ensuring all employees are paid accurately and in a timely manner, including distribution of payroll cheques.
  • Responsible for distribution strategy of annual T4's.
  • Manages all benefits programs and reviews all benefit and payroll changes prior to processing.
  • Maintains, organizes and manages HR Data to meet both regular and ad hoc information requirements. Ensure data is accurate and up to date.
  • Overall administration of benefit programs: Carries out tasks related to enrollment, changes, terminations and updates.
  • Responds to employee information requests within a quick turnaround Updates and maintains the administrator site and produces required statements
Team Management -10%
  • Oversees an Administrative Coordinator
  • Weekly report on all priorities to the Director of Human Resources
Quality Control on HR administration -30%
  • On all internal policies, job descriptions, employee documents
  • Excellent customer service and staff care to our teams
  • Monthly report to executives on staffing numbers
Skills and Qualifications
  • 2-3 years' experience in an HR administrator role, emphasis will be placed on candidates who have HRIS and team management experience
  • Excellent organizational skills and attention to detail, ability to operate under changing priorities and ambiguity
  • Demonstrated experience managing multiple completing priorities, manage a HRIS for 20 plus new hires per month and a staff of 350
  • Experience working and analyzing workforce data through HRIS, Vana is considered an asset
  • Superior verbal and written communication skills with the ability to articulate in a clear, concise, confident, persuasive and compelling manner under pressure and deadlines
  • Ability to analyze workforce data, be numbers and trend driven with an ability for details
  • Positive, energetic, enthusiastic and flexible, ideal candidate sees this as a career builder
  • Ability to work under pressure in a fast-paced, time-sensitive environment with shifting priorities and multiple hiring deadlines
  • Strong initiative, proactive manner able to understand data and apply it strategically.
