EXECUTIVE PA TO CHIEF EXECUTIVE OFFICER AND CHIEF OPERATIONS OFFICER

National Office, Braamfontein

This position exists in the office of the Chief Executive Officer at the National Office of Legal Aid South Africa, situated in Braamfontein. The successful candidate will provide an efficient executive secretarial and administrative support service to the Chief Executive Officer and the Chief Operations Officer.

Key performance areas:
Competently and professionally manage the functioning and administration of the office of the Chief Executive Officer and Chief Operations Officer, including: * The typing and distribution of documents * Incoming and outgoing mail, e-mail and telephone calls * Electronic and manual filing systems
* The office and infrastructure, including fixed assets * Petty cash * Procurement requirements * The CEO's and COO's Offices * Administration systems * The collation and compilation of documents * The receiving and management of sensitive and confidential information and documents * The management of the statutory deadlines and other governance schedules * Secretarial support to the CEO, COO and Manager: Special Projects * Diary management * The arrangement of travel, accommodation and transport * The management and arrangement of meetings, including the compilation and distribution of agendas and taking of minutes, as required * Liaison and interaction with all levels of Management and employees, as well as with members of the Board * The maintenance of attendance registers, leave reconciliation, executive compliance and other submissions from Executives * The management of interaction/correspondence from clients and external stakeholders.

Competencies (skills, knowledge and attributes) required: * A recognised Grade 12 (Standard 10) Certificate and a Secretarial Diploma * An understanding of the application of basic computer software packages * A minimum of five (5) years' practical secretarial experience and two (2) years experience as a Personal Assistant to Executives * Good communication skills * The ability to plan and organise * The ability to work under pressure and show initiative.
