Plans and executes selected high quality, education rich events in close collaboration with
CEO members who serve as Event Chairs and staff members in other departments.
SPECIFIC RESPONSIBILITIES
Plans, coordinates and executes events ranging from 3-15 days. This includes responsibility for all arrangements, logistics and programming. Such responsibility encompasses site inspections, social events, off-site activities, transportation, hotel arrangements, vendor contract negotiation, budget preparation and monitoring, onsite management and financial reconciliation. Negotiates with hotels, airlines, ships, ground operators and tour operators for assigned events.
Serves as primary interface with Event Chairs, committee members and staff for assigned events.
Contributes creative ideas to program planning, with an emphasis on innovative social events and off-sites.
Prepares all documentation needed for each event, including program schedules, reports, agendas, budgets, function sheets and event “specification” documents.
Coordinates internal and external communications related to each event. This includes promotion pieces, registration forms, registration form, event webpages, e-newsletters, profile books and others as determined.
Serves as lead on selected events and as a team member on others.
Maintains current and accurate event files and site selection files.
Performs other duties as requested by the Director of Events.
