Programme Support Coordinator

The MENTOR Initiative is a “not for profit”, charitable, non-governmental organisation devoted to reducing death and suffering from malaria in humanitarian crises. The MENTOR Initiative is currently providing ongoing emergency support to the most vulnerable communities in Haiti, Liberia, Angola, Kenya, Somalia, the Central African Republic and Eastern and Southern Chad.
Representation Work with the CD to: • Develop and maintain a positive working relationship with partners, donors, host government and relevant ministries, other humanitarian agencies as well as staff. • Develop and maintain a positive working relationship with the Ministry of Health on a local and national level. • Pursue coordination and working relationships with other NGOs and international organisations. • Represent The MENTOR Initiative at national /district/regional level technical and administrative meetings with the government, NGO partners and donors when required • Represent MENTOR at co-ordination meetings in Bangui • Coordination with other agencies to maximize resource sharing and combined approaches to communication and transport. • Ensure strong co-ordination and collaboration with the local and district MoH teams and other NGOs/CBOs/UN agencies operating in CAR
Admin/ Finance Work with the CD to ensure: • National team adherence to MENTOR contracts, guidelines and internal rules in Bangui base. • Correct financial management and administrative procedures are followed in Bangui base in accordance with both the MENTOR finance and administration guidelines as well as the CAR work code. • Weekly finance expenditure reports and/ or finance requests are provided in a timely manner to CD. • Constant communication is maintained with the CD to ensure proper administrative and financial matters are standardised and followed and budgets are accurately monitored. • Useful and positive input regarding finance and admin procedure as well as any proposed budget changes are communicated • Support and overseeing of logistics/ procurements in Bangui in the absence of CD • Experience with SAGA desirable
Fund raising and grant management Support the CD in: • Liasing with current and future donors (as relevant) in consultation with HQ, to advance programme ideas, solicit funding and other support and share information on the status of programmes. • Ensuring that relevant regional proposals are drafted in a timely and professional manner in a format consistent with MENTOR and donor guidelines and are reviewed and approved by HQ prior to official submission by HQ (or locally if agreed by HQ).
Reporting • Contribute in the bi-weekly progress reports and discuss planning outlines and related operational support needs at weekly, or more frequent (as needed) planning meetings to ensure full support from all team members. • Coordinate weekly and ad hoc general MENTOR team meetings in absence of CD • Provide weekly and monthly reporting to the CD • Assist in the development of interim and final grant reports. • Assist in the creation of viable new proposals and budgets in liaison with the CD. • Assist in other reporting required by grant contracts.
Any other duties as requested by the Country Director or HQ
