Coordinator, Regional Development

The Regional Development Coordinator is based at CI-HQ and the position primarily supports the relationship-building and fundraising efforts of two Development professionals--one in Chicago and one in New York. In addition, this position also provides support as needed by the VP, Major Gifts and the SVP, Development. The Coordinator will provide a high level of support that includes occasionally serving as a liaison with donors and non-development CI staff. This will require that the Coordinator be resourceful and use discretion in his/her communications. The Coordinator is also required to serve as a liaison with development staff and work independently.

RESPONSIBILITIES:

  • Information Management and Research. This position will ensure that all relevant information about donors & prospects within the Senior Directors' portfolios is entered and updated in Raiser's Edge. This includes all visit reports, stewardship actions, mailings, strategies and any other pertinent CI contact. Individual projections. The coordinator generates regular reports (mailing lists, regional and portfolio giving history) and produces a weekly gift report to assist in prospect identification and stewardship efforts -- and recommends follow action for newly identified prospect. The Coordinator reviews all revenue and solicitation reports to assure that they accurately capture regional activities on monthly Major Gifts reports. This aspect of the position requires consistent and clear communication and collaboration with the Major Gifts staff at CI-HQ.
  • Research. With training from Research team, this position will provide baseline research for new regional prospects and will allocate weekly time to researching local publications for leads and references to regional MG donors and prospects.
  • Event management. Position serves as project manager for large and small cultivation and stewardship events held in the regions, allowing Senior Regional Directors to focus more directly on event fundraising goals and committee member/major donor relationships. The Regional Coordinator will provide essential support in the form of creating invitation lists, working with caterer (if applicable), designing and producing invitations (mail and email), managing and confirming responses, providing logistical support at the event, and executing post-event follow-up such as RE entry, thank-you notes, etc.
  • Coordinator project manages local Lecture Series, including generating a timeline, invitation list, tracking RSVP & attendance, globally uploading invitees and attendees into RE, drafting invitation text and web page content, proof partner organization publicity materials & coordinate all joint content between CI and partner org.
  • Donor Stewardship and Correspondence. Coordinate donor reports with field programs and Foundation Relations; draft correspondence to donors; help identify opportunities for specific donor stewardship and outreach around CI priority programs. Produce regular appeal and stewardship mailings to donors in portfolio and appropriate prospects. Draft thank-you notes and other correspondence for Sr. Directors and Chairman's office. Create and manage regional timelines for donor contact and reporting. Record all mailings in RE.
  • Expense reporting. The Coordinator will be required to process paper work for financial expenditures including reimbursements, VISA statements, travel expenses, other expenses for the two Sr. Directors.

Working Conditions:

  • This position is based in CI-Headquarters in Arlington, VA
  • Infrequent heavy lifting is expected (books, annual reports, etc.).
  • Travel is expected once or twice per year

QUALIFICATIONS:

Required:

  • Successful candidates should have a minimum of three years experience working in the not-for-profit sector, preferably in fundraising and development.
  • Command of Microsoft suite of programs is required.
  • Strong oral and written communication skills.
  • Self-responsibility will be a must.

Preferred:

  • Raiser's Edge and Adobe Acrobat experience preferred.
  • Good judgment, a strong work ethic, curiosity, resourcefulness, ability to balance competing priorities, and interest in conservation are desirable traits.
  • Trustworthiness and ability to maintain confidentiality are vital.
  • The ability to work harmoniously with a wide range of personalities, to handle stressful situations with calm and work collaboratively with a large team are critical to success.
