Background / General description:
The Johannesburg office is seeking a highly motivated, well-organised Program Assistant who can provide effective and efficient administrative assistance. The candidate should have good judgment and also have excellent interpersonal skills. The incumbent will contribute to the smooth running of the daily admin support of the Financial Markets Team including specialized support such as TRS, SAP, iDesk and other administrative responsibilities under the guidance and supervision of the Financial Markets Manager and Office Administrator. He or she will also be ready to play an integral part of a tightly-knit and motivated team, and be ready to step up to undertake new responsibilities and challenges with enthusiasm.

Duties and Accountabilities:
Duties will include, but are not limited to:

• Provide high quality support to the team including scheduling of appointments, monitor documents for signature/approval; monitor and follow up on issues and priorities; handle incoming correspondence and internal and external queries; draft and handle routine correspondence;

• Provide primary assistance in the implementation of the teams work program, including some specialized support in a specific area(s), e.g. task management, procurement, database management, information technology, editorial assistance, etc.

• Identify and resolve diverse issues/problems as they arise, which often requires interpretation of existing procedures and processes and independently determining the appropriate application;

• Suggest ways to enhance work organization and effectiveness;

• Exercise quality enhancement function for project and other documents by ensuring adherence to departmental, and institutional guidelines;

• Serve as an information resource on status of project/products (e.g. procurement, disbursement, audit, trust fund, and legal issues) and drafts a variety of standard project-related correspondence;

• Undertake ad hoc inquiries in standard and non-standard databases, retrieves and presents data.

• Mentor less experienced staff.

Selection Criteria:
• High school Diploma or equivalent with 5 – 7 years relevant experience.

• Thorough understanding of IFC administrative/operating procedures and knowledge of team’s work program.

• Proficient in Bank’s computer applications (Word, Lotus Notes, Power Point, Excel, etc.).

• Proficiency in specialized administrative/operational support functions eg: database management, SAP, iDesk, event/course planning.

• Excellent written communication skills, ability to draft a variety of correspondence and edit materials independently.

• Demonstrate initiative and resourcefulness and ability to follow through on team priorities and respond to requests for information in a timely manner.

• Recognized ability to provide high quality work under pressure.

• Ability to manage tasks quickly/prioritize work effectively with minimal supervision, applying creative and practical problem solving skills.

• Committed team player with demonstrated inter-personal skills and ability to work in a multicultural environment.
